The Work You Will Do

As an enthusiastic and collaborative Facilitation specialist, in the Office of Organizational Development & Engagement (ODE), you will actively support and facilitate changes within the department while emphasizing the importance of continuous learning to enhance employee performance. You will assist the ODE manager with:

  • aligning DEP’s organizational strategy into actionable learning and development initiatives;
  • creating pathways for employees to train on a variety of professional development topics and best practices;   
  • equipping employees with skills and knowledge to thrive in a changing environment; and 
  • increasing employee efficiency to continue DEP’s competitive edge in the environmental community.

 

Specifically, this position will administer a variety of learning and development initiatives such as, but not limited to, new employee orientation, agency compliance training, manager training, professional development vendor workshops, special projects and ODE’s web presence and resources.

Your Specific Responsibilities

The Facilitation Specialist plays a pivotal role in facilitating training opportunities for the workforce to include the design, development, coordination, scheduling, delivery, evaluation and the tracking of training opportunities.

 

Learning and Development Initiatives 

  • Develop and maintain comprehensive training program plans.
  • Design and deliver outstanding and engaging live, virtual and on-demand training sesions for employees across the organization, including specific Learning Management System (LMS) training sessions for LMS users.
  • Obtain vendors and manage the vendor process for specialized training programs.
  • Present training and development programs using various formats, including group discussions, lectures, simulations, eLearning and videos.
  • Create and update documentation, FAQ’s, user guides etc. for LMS.
  • Conduct evaluations to identify areas of improvement for training sessions, instructors and vendors.
  • Assist the Manager in developing and maintaining instructional best practices for in-person, virtual and on-demand formats.
  • Review existing training practices and materials to determine effectiveness and recommend changes for improved results.
  • Assist with other staff training and development programs and curriculum as needed.

                                                                                                                                                                            

Curriculum Development/Content Management

  • Establish and oversee committees of SMEs to assess training needs and guide content development.
  • Assist with the creation of learning content, upload course content, modules, resources and assignments.
  • Utilize digital tools, including the Learning Management System, course authoring tools, marketing, presentation and employee engagement software.
  • Design, develop or oversee the production of educational aids and materials (training handbooks, multimedia visuals, computer tutorials and reference works).             

                                                                          

Learning Management Administration

  • Assist with the LMS, including maintenance of curriculum database, training records and in-house training facilities and equipment.
  • Assist with the user and account management.
  • Provide technical support and troubleshooting for all LMS users.
  • Assist with the library management.
  • Assist with the monitoring, tracking and reporting of organization-wide and specialized training programs including assessing date for assurance of quality.     

                                                                                              

Additional Responsibilities 

  • Coordinate and communicate with the Training Liaison committee.
  • Maintain knowledge of the latest trends in training and development.
  • Research and recommend new training methods to enhance learning experiences.
  • Assist with Annual Awards Program.
  • As a team, maintain websites and SharePoint information. 
  • Fulfill other tasks, responsibilities or projects as assigned by the Manager.

 

Required Knowledge, Skills and Abilities

  • Knowledge of the principles, methods and techniques of training and instruction, enabling the development of engaging and effective learning experiences.
  • Skilled in utilizing Microsoft Office applications, presentation software and e-learning platforms to create and deliver training content effectively.
  • Excellent communication skills, including outstanding oral, written, editing and presentation/training abilities.
  • Ability to engage and collaborate with colleagues, subject matter experts, committees, stakeholders and LMS users with enthusiasm, contributing to a vibrant and collaborative training and development atmosphere.
  • Ability to work independently and in team environments, fostering effective working relationships through flexibility, adaptability and active contribution.
  • Strong organizational and time-management skills, including effective management and coordination of multiple tasks and complex projects independently and in a team environment.
  • Possess strong analytical skills to interpret data, generate reports and derive insights from evaluations and metrics.
  • Ability to anticipate potential challenges and proactively address them.
  • Ability to demonstrate discretion and integrity in handling confidential and sensitive information, adhering to privacy policies and regulations.

 

Qualifications

Minimum

  • Bachelor’s degree from an accredited university or college and one (1) year of professional experience in training, education, staff development, change management, or an agency program area; OR, a master’s degree from an accredited college or university can substitute for experience OR, High school diploma or GED equivalent, and three (3) years of verifiable experience. 
  • Proficient in Microsoft Office applications, with work experience using PowerPoint, Word, and Excel functions, features and formulas.

Preferred

  • Proven experience in ensuring training compliance within a workplace setting.
  • Experience utilizing a Learning Management System in an administrative role.
  • Proficiency in using web/virtual training engagement tools applications/software.
  • Experience with course development software, including Articulate 360 etc.

 

Other Job-Related Requirements for this position 

  • Valid Driver License is required for this position.
  • Must be able to travel during the week, evenings, weekends, and holidays throughout the state of Florida as required by the departmental training needs.
