JOB DUTIES:
Responsible for processing all vehicle accidents for the division, including providing required documentation to administration. Handles all correspondence with insurance companies and any claim releases needed. Responsible for issuing purchase orders for repairs of Division vehicles. Verifies invoices are accurate and corresponds with vendor if any errors are found.
Responsible for maintaining the reconciliation of the divisions monthly cell phone invoice and ensures they are submitted for payment promptly and accurately. Responsible for the distribution and retention of the monthly memo bills to division personnel. Ensures data is accurate and suggest revisions when errors are found.
Assists the Senior Management Analyst Supervisor with division responsibilities as necessary. Assists with maintaining the division’s property and sensitive tracking system. Responsible for entering and scanning information as needed Assists with the ordering of supplies for the Director’s Office and maintains the supply room, copier, and shredder. Audits invoices for accuracy before submitting for payment.
Responsible for sending out the LP gas odorizers/ importers quarterly remittance report and entering gallons and payments into the system. Audits payment amount against the number of gallons submitted on the report for accuracy. Contacts businesses via email or phone if questions arise.
Assists with maintaining and auditing the division’s FLEET system. Assists with updating and tracking the division’s FLEET system to help ensure it is accurate and information is timely put into the system. Assists with auditing WEX card receipts. Assists with auditing daily P-Card transactions into the WORKS system for accuracy and contacts employees if discrepancies are found.
Back up for ensuring any building maintenance issues that are submitted by the division to the property management company to address and ensure it’s resolved in a timely manner.
Assist coworkers and other section within the division. Performs related work and other tasks as requested by division leadership.
