Position Summary
The primary responsibility of this position is to manage inventory, assets, surplus property, and real estate and leasing, ensuring accurate data entry and compliance with state regulations. The role involves coordinating and leading annual inventory processes, tracking assets for facilities as well as regional and field offices, managing surplus property, and maintaining APD leases and office relocations.
The Work You Will Do
- Inventory/asset management. Ensure APD property is issued asset tags where applicable, ensure correct and prompt data entry of said equipment into the FLAIR property module. Coordinate and lead the annual of inventory for APD assist with and coordinating the tracking of inventory for Regional/Field Offices and DDC’s, which may require to travel to these locations across the state as requested.
- Surplus property. Review and approve request for surplus property. Assist with the reconfiguration of workstations, removal of parts, coordinating the centralization of surplus items for the Central Office, preparing items for disposal, recycling and ensuring they are removed from the premises appropriately.
- Fleet issues. Provide for programmatic management of agency owned vehicles, coordinating routine maintenance and other services for Central Office vehicles, assist regional/Field offices and DDC’s on the coordination of routine maintenance and other services as needed, manage the web-based vehicle system for the Central Office, review and approve EMIS/FLEET/WEX/Sunpass invoices, maintain various monthly, quarterly and annual reports required, work strategically to identify potential cost-saving opportunities relating to vehicles/fleet.
- Assists with State Office collocated copiers and multi-function equipment. Assists with account management, review, and approval of all invoices, coordinates the procurement and installation of new equipment, coordinate maintenance with staff and vendors as needed, gathers monthly meter readings and identify potential cost-saving opportunities related to office equipment.
- Real estate and leasing. Maintain all APD leases/subleases, office leases, land leases, dock leases and submerged land leases; review and process invoices for all lease actions forecast lease expirations and renewals, serve as the FL-SOLARIS Administrator ensuring compliance with all reporting requirements, maintain floors plans, coordinate movers/relocations for offices/employees and work strategically with APS, DMS and the Tenant Brokers (when applicable) to identify potential cost-savings opportunities to ensure optimal use of APD real estate. Assist with data entry into FL-SOLARIS.
- Contract payment issues for State Office. Paying various bills, as directed, Novitex (mail services), Image API, postal services, land and office leases, Verizon and Sprint bills. Ensure payments are documented, timely, and accurate.
- Insurance issues. Assists with serving and maintaining APS certificates of insurance (i.e. accidental death, crime, casualty, property, general liability, automobile, worker’s compensation, etc.), review and process claims and invoices for insurance. Coordinate with FEMA on reimbursement needed as a result of declared emergencies including all required property reporting., Work strategically to identify potential cost-saving opportunities related to insurance, and reconcile insurance charges for real property annually.
- Respond to Central Office Facility maintenance needs and coordinating corrective actions with DMS. Maintains annual Fire Marshal inspection reports for APD State and Regional offices and ensures all non-compliance issues are met in timely manner. Oversee access to the DMS TRIRIGA database ensuring staff are promptly added and removed from the system as needed. Executes special projects/assignments and performs other duties as required and directed.
- Supports the Director of Support Services in the role of APD Alternate Safety Coordinator. Duties include but are not limited to: assisting APD Safety Coordinator in maintaining fire warden rosters and evacuation guidelines for the Central Office coordinating fire warden training activities as needed, reviewing State Fire Marshall inspections and responses for APD offices/locations, review incident investigation reports.
Minimum Qualifications
- A High School Diploma or its equivalent.
- Valid Driver’s License or other efficient means of transportation to travel for work purposes.
- At least one year of experience working in a State of Florida purchasing or procurement office.
- Experience utilizing State of Florida state term contracts and alternate contract sources.
- Experience working with office leases/subleases/land leases, and land use management.
- Experience working with inventory and asset management.
