Our Organization and Mission: The Office represents the State of Florida in state and federal civil and criminal courts, from trial courts to the Supreme Court of the United States. 

 

Position Summary: This position is in the Office of the Attorney General in the Administrative Services Unit in Tallahassee, Florida.

 

Pay: $44,290.22 Annually

 

Qualifications: 

  • A bachelor's degree from an accredited college or university and two years of professional experience in systems analysis, management analysis, program planning, program research, program evaluation, engineering or administrative work.
  • A master's degree from an accredited college or university can substitute for one year of the required experience.  
  • Professional or nonprofessional experience as described above can substitute on a year-for-year basis for the required college education.

 

Preference may be given to those applicants who have experience working with Accounts Payable within a State of Florida Government agency.

 

The Work You Will Do: The responsibilities of this position include, but are not limited to the following:

  • Audits various types of invoices which include but are not limited to travel and expense reimbursements; purchase orders; contractual services; subscriptions; machine leases; maintenance agreements; grant payments and revolving fund reimbursements;  This will also include preparing code sheets for data entry into the Florida Accounting Information Resource (FLAIR) using the appropriate cost centers and making the required number of copies to be included with the voucher that is kept both internally and/or sent to the Department of Financial Services when required.

  • Verifies authorization of payment and ensures compliance with 215.422, F.S.  Prepares DFS Contractual Service Summary forms as necessary which includes researching and reporting previous payments.

  • Contact vendors and or departmental staff concerning errors on invoices, overruns, shortages and any other problems related to the billing and/or payment process.  Check invoices over 30 days old, verifying whether paid previously or still outstanding. 

  • Research outstanding invoices and statements received from vendors and communicate with vendors as needed. 

  • Audits and process purchasing card payments within the PCard Works application within the 10-day time frame according to the CFO’s Reference Guide for State Expenditures and agency procedures.

  • Review voucher schedules to ensure that required documentation is included and amounts are correct prior to submission to DFS for payment of all invoices. This includes TR58 corrections, journal transfer corrections, reduction and deletion of payments.

  • Process requests for warrant cancellations and duplicate warrant, including maintenance of document files.

  • Perform other work-related duties as required.
