The Work You Will Do:

The Government Analyst I provides administrative support to the Office of the General Counsel's Arbitration Legal Unit and works under the direction of the Chief Arbitrator.

 

Specific Responsibilities:

  • Analyzes, evaluates, and responds to public, attorney, and party inquiries regarding arbitration procedures, case status, agency processes, and applicable department requirements, ensuring accurate interpretation and timely communication.
  • Coordinates and manages arbitration cases from intake through final resolution, including scheduling hearings, monitoring deadlines, and facilitating timely case progression in accordance with statutory and procedural requirements.
  • Serves as the primary point of contact for arbitration-related communications involving parties, attorneys, arbitrators, public stakeholders, and internal staff, providing procedural guidance and case-related information as appropriate.
  • Maintains and updates departmental case management systems, databases, and workflow tracking systems by entering and monitoring case information, legal records, and related documentation to ensure accuracy and compliance.
  • Maintains and updates the arbitration section’s online resources, including public-facing webpages, searchable databases, subject matter indexes, and internal reference materials to ensure accurate and accessible information.
  • Serves as the Records Custodian for the Arbitration Section, coordinating public records requests, maintaining official records, ensuring compliance with records retention schedules, and adhering to applicable public records laws, agency policies, and records management procedures.
  • Prepares and issues invoices for closed homeowners’ association arbitration cases, ensuring accurate fee assessment, documentation, and processing in accordance with agency procedures.
  • Compiles, reviews, and completes monthly case status reports and other operational reporting requirements to support case tracking, workload monitoring, and management review.
  • Attends departmental trainings, meetings, and system update sessions related to agency databases, procurement systems, operational procedures, and workflow enhancements.
  • Performs procurement-related administrative functions for the Arbitration Section, including ordering office supplies, maintaining inventory levels, and coordinating purchasing activities in accordance with agency procurement procedures and MyFloridaMarketPlace (MFMP) requirements.
  • Assists the Chief Arbitrator with administrative hiring activities, including interview coordination, candidate participation, onboarding support, and related personnel support functions.
  • Provides onboarding, procedural instruction, and systems training for newly hired administrative staff, serving as the primary trainer for workflow processes, operational procedures, and departmental systems.
  • Performs general administrative and operational support duties, including telephone communications, document processing, correspondence management, workflow coordination, and related office support functions.
  • Performs other related duties as required.

Minimum Requirements

  • Must have a high school diploma or equivalent.
  • Must have a minimum of one year administrative, clerical, or legal secretarial experience.
