DUTIES AND RESPONSIBILITIES:

This is a professional position at the Tallahassee office of the Department of Elder Affairs. This position reports directly to the Chief of Planning and Evaluation – SES, who supervises the Planning and Grant Development Unit for the Bureau of Planning and Evaluation. This position serves as the lead grant coordinator for the Department.

 

The duties in this position include, but are not limited, to the following grant development activities:

  • Lead the coordination and oversight of all grant application and management processes.
  • Generate proposals and supporting documents in response to grant solicitations and applications that follow the grant application policy and procedures.
  • Identify funding sources for client programs and services as well as for agency-led initiatives and priority areas.
  • Generate agency awards through timely submission of well-researched, well-written, and well-documented proposals.
  • Research and identify grants beneficial to the Department and aging network daily, and track all grants being pursued.
  • Provide technical assistance to Area Agencies on Aging and Department staff preparing grant applications or seeking grant funding.
  • Coordinate and assist Department staff in preparing grant application packages for the Department’s review process, monitor Department review and approval routing process, comply with grant timelines and deadlines, and submit grant packages to grantor agencies by specified dates.
  • Maintain a complete and organized calendar of all grant-related activities, including letters of inquiry, proposal deadlines, and reports, grant end dates, and ensure the Department’s grant tracking systems and logs remain up-to-date.
  • Handle Letters of Support requests on behalf of the Department by acting as a liaison, performing risk assessments, and drafting letters. Use appropriate project management tools to track and report progress of multiple work products.
  • Review and evaluate the Department’s grant development processes and recommend enhancements.

This position is also responsible for the following:

  • Assist supervisor and others in the unit in the preparation and review of reports and other documents in support of Department programs and activities, including, but not limited to, the Summary of Programs and Services, State Plan on Aging, and Long-Range Program Plan.
  • Contribute to the Bureau’s overall quality control activities by reviewing the work of other staff, offering editing and design recommendations and overall process enhancement ideas.
  • Research and review technical materials, reports, procedures, laws, and rules, and recommend and initiate necessary action.
  • Perform administrative duties, such as scheduling meetings, creating agendas, entering data, and organizing files.
  • Perform other duties as assigned.

 

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:

  • Excellent verbal and written communications skills
  • Excellent public speaking and facilitation skills
  • Knowledge of grant research, writing, and application standards and best practices
  • Ability to understand and apply applicable rules, regulations, policies and procedures relating to grant writing activities
  • Ability to distinguish and identify funding opportunities for the Department or Florida’s Aging Network Ability to edit large documents and manage edits from multiple users
  • Ability to establish and maintain effective working relationships with others
  • Ability to plan, organize and coordinate assignments to meet established deadlines
  • Ability to work independently with limited supervision and work as a part of a team
  • Ability to collect, analyze, and evaluate data
  • Ability to produce meaningful reports in a timely manner
  • Ability to plan, organize, and conduct meetings and make presentations
  • Ability to lead discussions and present materials
