POSITION SUMMARY:

This position is in the Office of Planning and Budgeting, reporting to the Budget Management Unit. This is a full-time position that coordinates procurement activities for the Business Support Program (BSP) to ensure compliance with state laws, rules, and agency policy and procedures, coordinates the division's response to various reports and tracking requirements, and serves as the division's property coordinator. This position requires excellent customer service skills and the ability to coordinate several ongoing projects at once. 

 

DUTIES & RESPONSIBILITIES:

Specific duties include:

  • Coordinating procurement activities for the BSP to ensure compliance with state laws, rules, and agency policy and procedures;
  • Serving as liaison between the Office of General Services and the Office of Financial Management for BSP for purchases, invoices, and encumbrances;
  • Coordinating bulk purchases for the division;
  • Performing market research on commodities and services needed to obtain best price and quality following defined state purchasing guidelines, including consulting state term contract vendors, PRIDE, RESPECT, and certified minority vendors;
  • Issuing purchase orders as needed for the division;
  • Coordinating delivery, installs, etc. of furniture and equipment with vendors;
  • Tracking all purchases to ensure receipt of item, invoice submitted, vendor paid and closed out; 
  • Resolving routine purchasing issues and bringing unusual problems and administrative matters to the attention of leadership;
  • Managing, gathering, and reporting on the BSP Commission on Accreditation for Law Enforcement Agency requirements; and
  • Serving as the BSP Property Coordinator.

 

KNOWLEDGE, SKILLS & ABILITIES:

  • Knowledge of the methods of data collection and analysis;
  • Knowledge of the on-going programs and function of the Department;
  • Knowledge of State of Florida’s procurement process;
  • Ability to communicate effectively;
  • Ability to work independently and cooperatively in a group;
  • Ability to plan, organize, and coordinate work assignments;
  • Ability to organize data and information into logical formats for presentation in reports, documents, and other written materials;
  • Ability to determine work priorities and ensure proper completion of work assignments;
  • Experience understanding and applying applicable rules, regulations, policies, and procedures; and
  • Experience providing excellent customer service (email, phone, and in-person correspondence).

BACKGROUND:

FDLE requires an extensive background process of all recommended applicants.
