The Work You Will Do:

The Division of State Lands, as Florida’s lead agency for environmental management and stewardship, serves as staff to the Board of Trustees of the Internal Improvement Trust Fund (Governor and Cabinet).  As such, the division’s role goes far beyond just acquiring lands for protection. It provides oversight for the management of activities on more than 12 million acres of public lands including lakes, rivers and islands. These public lands help ensure all Florida’s residents and visitors can truly appreciate the state’s unique landscapes.

The Bureau of Real Estate Services (BRES) is responsible for activities related to the negotiation, acquisition, disposition, exchange, donation and closing of real property as agents to the Board of Trustees (BOT) of the Internal Improvement Trust Fund. In addition, Bureau staff are responsible for the management of statewide contracts for title and closing services, as well as environmental site assessments. BRES partners with other DEP divisions, water management districts and other state agencies as land managers to successfully negotiate terms to achieve mission critical needs.

Your Specific Responsibilities:

Coordinates, maintains, and transmits post-closing data and requests. Conducts problem resolution of outstanding post-closing issues; monitors closing files for completeness; and takes all actions necessary to obtain any missing documents and corrections to documentation provided. Ensures corrections are completed in a timely manner.

Oversees and inputs data into land acquisition tracking system; generates closing reports; maintains post-closing land acquisition project files and ensures documents are complete. Responsible for transmittals, retrievals and tracking of all archive files; submits deed packages and completes post-closing reviews and close-outs in Acquisition Process Information System (APIS).  Completes closing notifications and distributes via email.  Coordinates with and assist Acquisitions Team with project data entry into APIS and project file organization.

Assist the Acquisitions Team with all real estate title products received, including document review, establishing files, research and document preparation for further review and approval for use with real estate acquisition projects.

Communicates information found in closed files for internal and external customers; maintains database of all files/boxes sent to internal storage section; coordinates with the file retention section the status of all boxes in storage and their retention period.

Oversees data entry, preparation of correspondence, and assists in the development of presentations; preparation of warrant requests; collects, reviews and researches land acquisition data and compiles related reports.

Oversees scanning preparation for closed land acquisition files and coordinates the schedule of sending boxes to PRIDE for scanning.

When needed, may provide administrative support to staff to include but not limited to: receiving and distributing mail; shipping packages; recording, tracking, and reporting assignments; setting up meetings, making room and conference phone line reservations; scheduling and maintaining calendars; tracking the correspondence control assignments and ensuring timely submittal of responses; making travel arrangements; providing file research and organization and records retention support, assisting with property inventory tracking, providing backup support to division main phone lines and answering telephone calls in a professional, courteous and effective manner and accurately transmitting information to the appropriate staff; provide assistance with supplies, space and equipment needs; provide assistance with bureau correspondence and documents in both electronic and paper formats, including prepping and scanning files.

Performs other duties and special projects as assigned.

 

Required Knowledge, Skills and Abilities:

Knowledge of: Knowledge of: administrative principles and practices; office procedures and practices; the methods of data collection; the principles and techniques of effective communication; standard business formats and styles for letters and business forms; correct spelling, punctuation and grammar usage; basic filing practices; priniciples and techniques of records management.  Skill in: using a computer; typing; using standard business formats and styles for letters and business forms; using correct spelling, punctuation and grammar usage; using basic filing practices; applying priniciples and techniques of records management; dealing with the public in a tactful and courteous manner.  Ability to: to learn, understand, and interpret DEP Real Estate acquisition procedures and processes; collect, evaluate and analyze data relating to administrative functions such as accounting or report writing; prepare correspondence and administrative reports; understand and apply applicable rules, regulations, policies and procedures; utilize problem-solving techniques; alphabetize and file; organize files, records and/or other materials; organize and maintain records management system; database entry, use correct spelling, punctuation and grammar; handle telephone calls in a courteous and effective manner; review work for accuracy and quality of content; work independently; plan, organize and coordinate work assignments; communicate effectively; establish and maintain effective working relationships with others and demonstrate teamwork. Maintain a valid driver’s license.
