Job Description

The employee in this position serves as the personnel liaison for the Bureau of Family and Community Outreach, serving as the direct support to the bureau chief and the support to three directors who manage the following program areas: Family and Community Engagement, Pre­Collegiate Programs and 21st Century Community Learning Centers. All these program offices will have reports and/or communications that must be prepared and routed for approval.

*This position is not approved for teleworking.

 

Duties and Responsibilities

The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:

 

  • Perform administrative and clerical duties in support of the Bureau of Family and Community Outreach.
  • Proof and review outgoing correspondence and printed materials for program staff, when requested, which include spelling, formatting, grammar, and routing.
  • Assist staff with training and development opportunities; work with Agency Training Coordinator as necessary to identify resources.
  • Serve as staff liaison to assist with requests and resolution of issues. Being productive under tight timeframes, balancing multiple, competing priorities, and maintaining goal-directed behavior and performance sometimes under stressful conditions.
  • Maintain all office personnel records for all staff, leave reports, employee performance evaluations and personnel actions for the entire office and maintain confidentiality of such records.
  • Maintain bureau function and complete the various tasks and department requirements necessary for the bureau to operate productively.
  • Maintain the Paperless Communications system and prepares correspondence for routing and tracking for all correspondence from this bureau. The employee assists with the monitoring and processing of Corr Flow assignments. Maintains the updates for the bureau ,webpage.
  • Assist with or prepare travel (i.e., travel authorization request and reimbursement) and make travel arrangements for Bureau Chief and staff as needed.
  • Research equipment and supply purchases for all staff and prepare requisitions for leadership approval. The employee facilitates requests for IT, phones, surplus, and supplies.

Knowledge, Skills, and Abilities

•           Ability to prioritize, plan, organize and coordinate assigned work.

•           Ability to analyze operating practices and procedures.

•           Ability to manage assigned tasks within their approved work schedule.

•           Knowledge of office procedures and practices.

•           Knowledge and ability to demonstrate computer proficiency including Microsoft Office Suite, Microsoft PowerPoint, Microsoft Excel, and Microsoft SharePoint.

•           Excellent verbal and written communication skills. 

 

 

Minimum Qualifications:

  • A high school diploma or its equivalent.
  • Experience using Microsoft Office software.
  • Experience with handling confidential information.

 

Preferred Qualifications:

 

  • Preferences will be given to applicants who have at least three years of secretarial or clerical experience.
