Your Specific Responsibilities:
This is a professional, executive administrative position located in the Division of Emergency Preparedness and Community Support, Director’s Office. The incumbent is responsible to support the Government Operations Consultant III- SES position on an on-going basis and other Division Programs as assigned. Work will involve providing general administrative support in addition to specific duties as outlined below. Work will require skills with Microsoft Office Word, Excel, Outlook, Works, MFMP, and other office productivity software. Incumbent will be responsible to develop written and/or graphical reports and correspondence and should have a high level of administrative and organizational skills to support a multi-function unit.
The incumbent in this position will provide administrative support to the Director’s Office within the Division of Emergency Preparedness and Community Support and serve as the division’s primary point of contact for front office operations, including initiating facility service requests as needed. This role also includes supporting various administrative assignments, conducting research, and preparing reports as directed. Additionally, the incumbent will serve as a backup for front desk operations within the Bureau of Emergency Medical Oversight.
Maintains knowledge of My Florida Market Place and adheres to the department's purchasing/financial policies and procedures. Develops purchase orders as requested while maintaining appropriate security and documentation of expenditures. Orders and maintains supplies for the division when requested.
Schedule meetings and appointments, maintain calendars, and coordinate conference room usage.
Handle mail and packages, logging deliveries and ensuring timely distribution.
Serves as back-up to the division property delegate to monitor and surplus property and equipment. Maintains equipment in the Asset Management System (AMS) by ensuring proper documentation of equipment is completed, new equipment is accounted for and is assigned a property identification tag number and sub sequentially indicated within AMS. Responsible to maintain departmental policies, procedures and guidelines as related to property and assets. Maintains and reports the bureau’s annual property.
Serves as back-up to the division’s safety coordinator and floor warden. Promotes safety concepts within the division and performs safety risk management activities, conducts mandated monthly workplace safety reviews/inpections and semi-annual safety reviews/inspections. Attends quarterly meetings with division safety coordinators.
Maintains knowledge of WORKS and adheres to the department's purchasing/financial policies and procedures. Uses the state purchasing card when requested while maintaining appropriate security and documentation of expenditures.
Serves as the travel champion for the Division of Emergency Preparedness and Community Support, Director’s Office, participating in travel related trainings and informing staff of any relevant changes to the State travel system, travel policies and procedures, along with assisting to trouble shoot any system related issues or travel reimbursement problems.
Performs other duties as assigned, including providing assistance as needed in response to and recovery following natural or man-made disasters.
