Your Specific Responsibilities:
This position is a Government Consultant I and is part of an administrative team that supports the investigative and supervisory staff within the Consumer Services Unit. This position provides administrative support to the supervisory team. The Consumer Services Unit handles regulatory health care complaints, investigations, and compliance monitoring involving possible regulatory violations by health care practitioners.
- Serves as unit Records Management Liaison Officer.
- Responsible for all inventory and purchasing for unit.
- Processes all purchase orders and invoices for unit, including all My Florida Market Place transactions.
- Prepares and submits all travel authorizations and reimbursements for unit. Requests and tracks all revolving checks when needed for purchases.
- Prepares and processes all cost affidavits upon request.
- Prepares, processes, and maintains subpoenas for unit and serves as subpoena custodian. Processes all
- supplemental investigation requests.
- Processes request for quotes, services and payments on all language translation transactions. Provides
- administrative support to supervisory team.
- Serves as unit staff meeting coordinator.
- Provides coverage and relief to Regulatory Specialist II positions within the Consumer Services Unit as
- requested.
- Provides administrative support to investigators by researching, processing and appropriately handling health
- care practitioner complaints.
- Receives, scans, and processes incoming correspondence received in the Consumer Services Unit.
- Prepares outgoing correspondence.
- Appropriately records incoming and outgoing correspondence in licensure and enforcement database and
- enters database codes appropriately.
- Runs reports to assist in complaint processing.
- Processes, records, codes, and delivers case files within and outside our unit. Enters daily time tracking
- reports into time tracking database.
- Answers telephones, receives voicemail, and handles or appropriately directs all calls coming in to the
- Consumer Services Unit.
- Assists with special projects as requested, attends training, and performs all other duties as required.
Required Knowledge, Skills, and Abilities:
Proficient computer skills to include Word, Excel, PowerPoint and Outlook; knowledge of computer data bases; knowledge and use of the compliance management system and licensing system used by the Agency; knowledge of laws, legal codes, court procedures and government rules & regulations; knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; understanding written sentences and paragraphs in work related documents; communicating effectively with others in writing; talking to others to effectively convey information; ability to establish and maintain effective working relationships with others; ability to plan, organize and prioritize work assignments; using logic and analysis to identify the strengths and weaknesses of different approaches; investigating and researching; knowing how to find information and identifying essential information; finding ways to structure or classify multiple pieces of information; ability to maintain a high degree of accuracy and close attention to detail; organizational skills; effectively manage time; ability to travel; ability to maintain strict confidentiality.
Qualifications:
- Associate’s degree or equivalent from an accredited college OR
- High School Diploma or equivalent; AND
- Two years administrative experience to include computer software, data entry, imaging, document preparation, travel arrangement preparation and budget oversight.
- College education can substitute for the required experience on a year-for-year basis.
- Must have a valid Florida State driver's license, satisfactorily complete a background investigation, fingerprinting, and participation in direct deposit are requirements for employment.
