SALARY:

Minimum annual salary $38,175 maximum annual salary $40,000 plus benefits.

 

MINIMUM QUALIFICATIONS:

Applicant must successfully pass Level II background/criminal history check.

 

PREFERRED:

At least one (1) year of professional experience in purchasing, competitive bidding, procurement, and/or project/contract management.

 

POSITION OVERVIEW: 

The Division of Freshwater Fisheries Management is seeking a motivated person to fill a highly responsible and professional position in the Director’s Office. This position will report to the Senior Management Analyst and assist with serving division staff and the Division Management Team with contract management, purchasing, invoicing, HR duties, and other high-level administrative tasks. We are looking for someone to join our team who is willing to learn and grow with the division.

 

Desired applicants must have a strong ability to be proactive, meticulous, and well-organized. Additionally, the ideal candidate will be a fast learner and will have intuitive problem-solving and critical thinking skills. Effective communication, interpersonal skills, and attention to detail are required. 

 

JOB DUTIES:

Specifies duties may include, but are not limited to:

 

Human Resources
Responsible for compiling and maintaining paperwork for division personnel actions. This position will monitor timesheet submissions and run reoccurring reports in People First, PowerDMS and other personnel systems. Responsible for working with supervisors for onboarding and separating employees. Works with supervisors to post job announcements on People First and other hiring platforms for the division. Monitors and tracks required training and certifications for division staff. 

 

Purchasing
Assist division personnel with purchasing procedures for obtaining competitive price quotations. Process requests p-card charges and purchase orders, including for amendments and cancellations of orders.  Ensure exceptional request/authorization/certification letters are obtained for purchase order issuance. 

 

Contract Management
Assists in writing and monitoring contracts as needed for the Director’s office. Verifies and authorizes invoices for payments related to programmatic contracts. Coordinate with project managers, the legal office, comptroller, and consultant/contractor/vendor and other sources as appropriate to provide timely action to existing contracts and in documenting all procurement actions.

 

Administrative Support
Responsible for paying and redistributing monthly DMS, WEX, and cell phone bills for the division. Assists the Senior Analyst in maintaining division inventory, HR checklists, budgetary reports, etc. Creates and maintains filing system for Tallahassee office with knowledge of retention schedules. This position will also be responsible for assisting with grants, projects and tasks that help streamline the Tallahassee office/Division functionality.
