Duties and Responsibilities |
The employee must be productive under tight timeframes, balance multiple and competing priorities and maintain goal-directed behavior and performance sometimes under stressful conditions. The employee must interact courteously with others. The employee’s performance and behavior must demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unit. Administration The incumbent in this position is a highly responsible individual who works independently in assisting the Chief of Technology Services in the coordination of administrative tasks and/or assignments, which are complex in nature and very broad in objective with integration of diverse functions. Maintains open and frequent communication with the Bureau Chief, keeping him/her apprised of important division and department information or issues. Processes and/or routes documents as needed in accordance with established rules and/or procedures. Maintains appropriate files, records, and reports, in accordance with established records management procedures and records retention schedules. Assists with personnel packages and related tasks for the Bureau, and routes between DVR and DOE in accordance with established rules and/or procedures.
Purchasing Maintains a good working knowledge of the MyFloridaMarketPlace (MFMP) applications, State Term Contracts, Alternative Source Contracts, Communications Service Authorization and Billing (CSAB) orders and invoicing, TIPS Contracts, and all purchasing methods, laws, rules, and regulations. Coordinates and conducts purchasing activities for the Bureau to ensure continuity of business. Coordinates any IT procurement tasks with the Division (DVR) and Department (DOE) IT Procurement team as required. Initiates and submits requisitions in Ariba on Demand (AOD) and follows through to receipt and invoicing for close-out in AOD. Coordinates with vendors to ensure timely delivery of purchased goods and services. Submits vendor invoices to the DVR Financial Payments Section. Maintains tracking lists for purchases. Serves as IT approver for all IT related purchases for the Division and ensures purchases comply with approved standards. Continually researches the DMS website for new or updated information regarding any references to purchasing. Manages and processes IT staff augmentation and annual renewals.
Travel Reviews travel authorization forms for IT staff and routes for approval. Uses the Statewide Travel Management System (STMS) for processing travel for IT staff. Validate IT travel submissions are accurate and process accordingly. Ensures that any necessary travel arrangements are processed in accordance with appropriate policies and procedures, including ensuring that proper approvals are obtained prior to travel and reimbursement forms are completed promptly upon return.
Performs other duties as required, assigned, or delegated.
