JOB DESCRIPTION:

This position is located in the Division of Blind Services State Office in Tallahassee, Florida.  This position will work under the direction of the Division of Blind Services’ (DBS) External Affairs Coordinator.  This position will provide administrative support to the External Affairs Team, which includes Communication and Outreach and the Director and Deputy Director's Office.  

DUTIES & RESPONSIBILITIES:

The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:

  • Research and orders outreach materials, promotional products, and other goods/services.
  • Create and edit spreadsheets in Microsoft Excel.
  • Create and edit presentations in Microsoft PowerPoint.
  • Answer incoming calls, route to appropriate staff, and take and distribute messages correctly and timely.
  • Greet and receive visitors to the Division.
  • Provide general information to the public and will prepare meeting materials as needed.
  • Responsible for records management, setting up new files and filing systems, and will maintain the current filing system for the team.
  • Perform research using the internet and provide quick turn-around and accurate information on the research requested.
  • Responsible for researching, identifying, and purchasing outreach materials using the MyFloridaMarketPlace (MFMP) system, and researching, identifying, and purchasing promotional items using the Gifts and Donations Fund.
  • Completes MyFloridaMarketPlace (MFMP) purchase orders according to policy and procedures.
  • Serves as the timekeeper for the External Affairs team, maintaining attendance and leave records.  The timekeeper is also responsible for the timely submission of leave without pay reports to the DBS Personnel Administrator to avoid overpayments.
  • Prepare documents and correspondence.
  • Prepare and submit travel authorizations and travel reimbursements.
  • Maintain all administrative records, files, and other documents as directed.
  • Create and support the development of, proofread and edit documents such as the division newsletter, respond to client complaints, and work with a variety of other documents and reports.
  • Responsible for maintaining individual calendars for team members.
  • Assist with planning and facilitation of outreach activities and special events.
  • May be required at times, to travel overnight or work outside of regular business hours to complete work duties or to attend division-sponsored conferences, outreach, etc.
  • Serve as the backup to the Legislative point person. This will include assisting with the monitoring and tracking of pertinent legislation and duties can sometimes occur outside of regular working hours.
  • Serve as the backup administrative support person for the Director’s Office. This may include assisting with the setup and coordination of the Florida Rehabilitation Council for the Blind (FRCB) meetings.
  • Assist with strategic planning and special projects.
  • Demonstrate accountability and support towards the goals of the agency leadership and communicate the same to other employees.

MINIMUM QUALIFICATIONS:

  • A bachelor’s degree from an accredited college or university in communications, public relations, or a related field of study; or
  • One to four years of professional and relevant experience in communications, public relations, or administrative/office management. Preference will be given to those with a bachelor’s degree.

PREFERRED QUALIFICATIONS:

Preference will be given to candidates with:

  • A bachelor’s or master’s degree from an accredited college or university.
  • One (1) to four (4) years of professional and relevant experience in communications, public relations, or administrative/office management. 
  • Prior experience in preparing outreach materials, newsletters, taking photographs, working with social media, preparing news releases, and/or coordinating outreach/special events.

    • Annual Leave - All full-time Career Service employees filling established positions earn annual leave in varying increments dependent upon years of creditable service. Employees with up to 5 years of creditable service earn 8.667 hours per month, with 5 to 10 years earn 10.833 hours per month and those with over 10 years of service earn 13 hours per month. Employees in Senior Management Service and Selected Exempt Service positions are credited with 176 hours of annual leave upon appointment. In subsequent years, the annual allotment is credited on the anniversary date of the initial appointment.
    • Sick Leave - Career Service employees earn 8.667 hours of sick leave credits per month.

BACKGROUND SCREENING REQUIREMENT:
