Your Specific Responsibilities:

This professional position located within the Division of Emergency Preparedness and Community Support, Bureau of Emergency Medical Oversight, Trauma Section. The key areas of responsibilities include coordination of trauma center site surveys; trauma application process; trauma center standards; regional trauma systems planning, trauma system strategic planning and trauma system performance and quality improvement.

Trauma Center Application / Verification: Responsible for the annual distribution of the Letter of Intent per the current Trauma System Assessment Report. Directs interested hospitals to information regarding application submission, statutes, rule, and standards pertaining to the application process, as further detailed in the Trauma Desk Guide. Assists the Trauma Section Administrator and fellow trauma staff team members with the processing of applications, by the timeline established in Section 395.4025, Florida Statutes and Section 64J-2.012, Florida Administrative Code. Assists the Trauma Section in developing program policies and procedures streamlining the trauma center application and verification processes.

Site Surveys: Responsible for coordination and oversight of trauma center site surveys within the timelines set forth in Sections 395.4025, Florida Statute, and Section 64J-2.016, Florida Administrative Code. This position shall serve as the liaison between the Department and regulated entities relating the planning and execution of trauma center site surveys. Notifies the trauma center of the specifics of the site survey in a timely manner, as outlined in the Trauma Desk Guide, including notification between six and nine months prior to the survey date. The position is responsible for preparing and sending key deliverables such as the Notification Letter, Trauma Center Preparation Equivalency Document (for ACS-certified centers), Trauma Survey Hybrid Model Preparation Information (for non-ACS centers), and the Electronic Pre-Survey Questionnaire (EPSQ). It also ensures the EPSQ is provided to the out-of-state survey team for review, emphasizing the importance of complete questionnaires to avoid deficiencies. Develops and maintains professional, collaborative relationships with local, state, regional, and national stakeholders, and trauma site surveyors as necessary to effectively implement program goals and objectives. Collaborates with the trauma site survey team in the evaluation and opportunities for improvement of the Florida trauma center site survey process and electronic pre-survey questionnaire.

Trauma System Performance and Quality Improvement / Assurance: Provides technical expertise to section leadership on developing, documenting, and implementing operational practices that fulfill the Department's duties under Section 395.4025, Florida Statute, regarding trauma center selection, quality assurance, and records management. Assists the Trauma Section Administrator with operational policies for the unit, and establishing procedures, as required, to implement policies and achieve operational objectives. Supports and collaborates with efforts led by the Florida Committee on Trauma (FCOT) to improve the quality of care for trauma patients in Florida, including activities related to statewide quality data analysis and linking the trauma community to the Florida Trauma System Advisory Council (FTSAC).

Consultant Recruitment Support: Provide supporting assistance in identifying qualified vendors and consultants with necessary subject matter expertise for trauma center designation and renewal. This includes liaison activities with trauma site surveyors regarding assignments responsibilities and assisting in providing educational and work tools for their preparation as a surveyor.

Recordkeeping and Planning: This position shall be responsible for maintaining trauma center contact information, site survey records and documentation, as well as other files, in accordance with record management practices outlined in Florida Statute.

Meeting, Planning, and Facilitation: This position shall be responsible for assisting with the planning, procurement, coordination of materials and other facets of meeting planning for planning of trauma center site surveys and the Florida Trauma System Advisory Council meetings, as well as any other meetings that may arise.

Public Outreach: Recommends and coordinates efforts to reach the public, as well as potential trauma centers and site surveyors with news and information about Florida’s trauma system of care. Plans workload and workflow for professional events while establishing achievable deadlines and work objectives to include excellent time management skills.

Also performs other duties as assigned, including providing assistance as needed in response to and recovery following natural or man-made disasters.

 

Required Knowledge, Skills, and Abilities:

  • Knowledge and skills with Microsoft Word, Excel, Access and PowerPoint.
  • Knowledge of principles and processes for providing customer and personal services including needs assessment techniques, quality service standards, alternative delivery systems, and customer satisfaction evaluating techniques.
  • Knowledge of principles and processes involved in business and organizational planning, coordination and execution, including strategic planning, resource allocation, leadership techniques, etc.
  • Ability to analyze and organize statistical information to interpret results into reports, tabulations, charts and graphs.
  • Ability to collect, evaluate, and analyze data to develop alternative recommendations, solve problems, document workflow and other activities relating to the improvement of management practices.
  • Ability to communicate effectively both written and verbal.
  • Ability to work independently to plan, organize and coordinate work assignments.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to write policies and procedures.
  • Ability to utilize logic and analysis to identify the strengths and weaknesses of difference approaches.

 

Qualifications:

  • High School Diploma or GED Equivalent prefered
  • Associate degree or bachelor’s Degree is desired
  • Experience working as a Registered Nurse is desired (but not required)
  • 3-5 years of colleague and/or customer interaction
  • Experience working in a public health regulatory setting is desired
  • Multi-task driven
