JOB DESCRIPTION:

This position is responsible for performing full performance-level work under the limited supervision of the Assistant Deputy Commissioner, Division of Finance and Operations. This position provides technical assistance to stakeholders, reviews applications and manages assigned grant programs.

 

DUTIES & RESPONSIBILITIES:

(Note: The omission of specific job duties does not preclude management from assigning specific duties not listed herein if such duties are a logical assignment to the position.)

The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:

  • Serves as personnel liaison for all staff reporting to the Assistant Deputy Commissioner including the Bureau of Contracts, Grants, and Procurement Management and other direct reports.
  • Responsible for preparing personnel actions, serving as timekeeper by maintain attendance and leave records, and preparing position requisitions through the People First System. Timesheets will be completed in the People First System by the 5th business day of the following month. Confidentiality of these matters will be maintained at all times.
  • Serves as the personal assistant to the Assistant Deputy Commissioner and acts in his/her absence in carrying out administrative duties.
  • Maintains calendars for supervisors by listing all appointments, meetings, and conferences on electronic calendar program and arranges travel and hotel reservations and completes travel itineraries and expense vouchers.
  • Independently investigates subject matter, reviews, analyzes, and prepares drafts of memoranda and correspondence on behalf of the Assistant Deputy Commissioner.
  • Makes phone calls of a technical nature for the Assistant Deputy Commissioner and screens phone calls, interpreting established policy, providing information and resolving problems.
  • Maintains tracking system for paperwork flowing in and out of the Assistant Deputy Commissioner’s office.
  • Assists in the analysis, collection, verification, and preparation of financial and organizational information for management purposes.
  • Conducts follow up with key staff with regard to assignments which are due and may revise schedules as necessary.
  • Answers questions of a technical nature and makes referrals as appropriate, assists callers or visitors in obtaining information, handling incoming mail including CorrFlow, and responds to other correspondence from notes and general directions.
  • Maintains current information on department policies and procedures as they relate to the preparation and processing of various administrative forms, reports and general office management.
  • Provides direction to bureau support staff in proper process.
  • Performs other duties as assigned.

Required Licensure/Registration/Certification/Experience or Education:

  • Experience in customer service in an office setting.

  • Ability to organize data into logical format for presentation in reports, documents, and other written materials.
  • Ability to utilize problem-solving techniques.
  • Experience with My Florida Market Place (MFMP)
  • Experience with Statewide Travel Management System (STMS)
  • Experience with State Personnel System (SPS)

LEAVE INFORMATION:

    • Annual Leave - Employees in Senior Management Service and Selected Exempt Service positions are credited with 176 hours of annual leave upon appointment. In subsequent years, the annual allotment is credited on the anniversary date of the initial appointment.
