Your Specific Responsibilities:  

The incumbent in this position coordinates and communicates with all Investigative Services Unit (ISU) field offices along with other units within MQA and outside entities; develops, implements, organizes and assists in Annual Investigator Training, Basic Investigative training and Administrative Training for the ISU field offices administrative staff.   

 

  • General oversight and day to day management of the ISU Headquarters (HQ) office to include but not limited to, office and phone coverage; organize and coordinate work assignments; ensures questions and correspondence from the field is responded to in a timely manner; ensures HQ staff have the proper resources and supplies. 
  • Responsible for the development, review and monitoring of the ISU HQ spending plan and budget. 
  • Oversees and assists the ISU field offices budget and spending plan.  
  • Investigates, analyzes, and performs audits to ensure accurate and proper billing for each field office. 
  • Reviews administrative policies, procedures and guidelines and related directives that affect ISU field offices.  
  • Identifies statewide operational problems, collaborates with field office staff and by using data analysis and process mapping identify the root cause and implement a new policy or procedure to resolve the issue.  
  • Ensures administrative policies and procedures are implemented and clearly articulated in the Administrative Desk Guide.  
  • Develops and implements policies and procedures and numbered memorandums for new program areas or changes in program criteria and disseminates changes to affected staff.  
  • Conducts training on new policies and procedures to ensure understanding and compliance.  
  • Coordinates quarterly updates of the Investigations Desk Guide and Administrative Desk Guide. 
  • Coordinates with District Managers by analyzing the Administrative Desk Guide, Inspection Desk Guide, Investigations Desk Guide and the Leadership Desk Guides policies and procedures and makes recommendations for operational changes by mapping desk guide processes using computer software.  
  • Coordinates statewide trainings, seminars, and workshops to ensure the training needs of the state are met.  
  • Plans and coordinates quarterly leadership meetings, conferences and trainings as needed. 
  • Coordinates all correspondence assistance requests by reviewing, conducting research and responding in a timely manner.  
  • Reviews programs, services, forms and reports, and confers with management team and users to identify problems and improvements.  
  • Plans, coordinates and participates in statewide and regional conference calls and meetings and assist with follow up assignments.  
  • Assists with coordination of statewide trainings and meetings.  
  • Serves as the COOP coordinator. 
  • Maintains tracking and trending data regarding ISU field office inspections to assist in the identification of improvement opportunities and training needs. 
  • Ensures Bureau of Enforcement websites are up to date and coordinates weekly accomplishments and acknowledgements. 
  • Serves as the PDMP Administrator and as the statewide CCIS, DHSMV, Accurint, and Vital Statistics Administrator. 
  • Performs administrative, clerical and other related duties as needed to field office staff. 

 

Required Knowledge, Skills, and Abilities:

Knowledge of computer software, to include Microsoft Word, Outlook, PowerPoint and Excel. Knowledge of principles and processes involved in business and organizational planning, coordination and execution. Ability to communicate effectively both verbally and in writing. Ability to handle confidential and sensitive matters. Ability to understand and apply applicable rules, regulations and policies and procedures. Ability to maintain strict confidentiality. Ability to plan, organize, delegate and coordinate work assignments. Skill in conflict resolution to include handling complaints, arbitrating disputes and resolving grievances and motivating, developing and directing people as they work. Skills in planning; judgment and decision making; project management; expert skill level in computer software; customer service; problem solving; critical thinking; and research. Ability to work independently. Ability to identify key policy issues and make recommendations to senior management. 

 

Preference will be given to those who meet the following minimum requirements: 

  • 4 years’ experience in coordinating and facilitating meetings, conference calls and training seminars; developing, analyzing and revising policies and procedures; and overseeing budgets or spending plans. 
  • College education can substitute on a year-for-year basis for the required professional experience as described above  
  • Must have a valid Florida State driver's license, satisfactorily complete a background investigation, fingerprinting, and participation in direct deposit are requirements for employment.
