The Work You Will Do

This position acts as a Customer Relations Technician for the Director’s Office. This is a highly responsible, highly technical position that works independently. The position requires a high degree of analytical skills, technical knowledge, substantial administrative and consultative work experience, professional discretion, and the ability to organize and implement the required procedures to ensure the appropriate handling of documents.

 

Customer Relations Technician duties include:

  • Assisting with consumer complaints filed through the DBPR Portal and the division’s DHR.Info e-mailbox.
  • Processing consumer complaints from the OnBase queue and assigning applicable complaints to the district offices. Responding appropriately to the complainant when an inspection is not warranted. Referring complaints not in the division's juridiction to other AHJs.
  • Assisting with research and providing information to resolve constituent issues relative to the Division of Hotels and Restaurants.
  • Responding to written and telephone inquiries from the general public, licensees, and other government agencies. 
  • Assisting in handling, responding to, and fulfilling public records requests. 
  • Assisting with management of the team’s various email inboxes.
  • Preparing recommendations and written correspondence on technical issues as needed for the division.
  • Preparing reports and correspondence using Microsoft Word & Excel.
  • Performing research and responding to requests for Division of Hotels and Restaurants signature on Division of Alcoholic Beverages and Tobacco applications.
  • Providing coverage of tasks when delegated staff is absent.
  • Providing administrative support for the Office of the Director as needed.

 

This position will perform duties as a citation officer for the Bureau of Elevator Safety and be responsible for independently making decisions regarding issuing elevator citations. Receives telephone or email inquiries from state elevator inspectors wishing to issue a citation and conducts high level research in both Versa: Regulation and OnBase to verify if the subject of the proposed citation is currently unlicensed. Determines if a citation is the best option given the specific circumstances. Assists the Bureau of Elevator Safety compliance officer with citation data entry into Versa; Regulation, OnBase and Access programs, compliance mail-outs including invoices, final orders and fine letters, and indexing case document scans in OnBase.

 

Assists with division contracts, grants, and appropriated campaigns. Serves as a backup for the quarterly analysis of payments for the Hospitality Education Program School-To-Career Transition Program Grant.

 

Assists as needed with coordination of division’s advisory councils. Assists with correspondence and minutes relating to all Advisory Council meetings. Assists in the coordination and preparation of the itinerary for the chairperson of the Hotel and Restaurant Advisory Council and the Elevator Safety Technical Advisory Council. Prepares travel reimbursement for the advisory council members, special task force members and consultants. Drafts notices for the Division’s advisory councils to be published in the Florida Administrative Weekly. 

 

Performs special duties, assignments and other related work as required. Performs research, development and documentation of special projects and assignments. Assist team members with project tasks and responsibilities as appropriate. Enhance and maintain professional knowledge and competency.

 

Knowledge Skills and Abilities

Knowledge of laws, rules, policies, and procedures applicable to the Division of Hotels & Restaurants.  Skilled in the use of software and desktop hardware to enhance personal & organizational performance, (including Versa: Regulation, OnBase, Qlik, spreadsheet, word processing, scheduling, e-mail, licensing and internet applications and other technology required by the department).

 

Requires strong knowledge of department organization, functions, policies, rules and regulations, and Administrative Procedures Act (Chapter 120, F.S.) processes.

 

Ability to conduct fact-finding research. Ability to understand and apply applicable rules, regulations, policies, and procedures relating to operational and management analysis activities. Ability to communicate effectively. Ability to establish and maintain effective working relationships with others. Ability to work independently.

 

Minimum Requirements

  • Two years or more of food and lodging regulatory experience (inspections, licensing, compliance, plan review); and
  • Two years or more of experience using DBPR Versa: Regulation and OnBase; and
  • Two years or more of experience in customer service and creating professional written correspondence; and
  • Two years or more of experience interpreting, and communicating state statutes and rules; and
  • Two years or more of experience with Microsoft Office programs.
