The Work You Will Do:

 The OPS Administrative Assistant will serve as administrative and clerical support to supervisors and staff within the Office of Military and Defense (M&D) in the Division of Economic Development. Military veteran strongly desired.

Your Specific Responsibilities:

 The OPS Administrative Assistant serves as the administrative and clerical support to supervisors and staff within the Office of Military & Defense. This position will report to the Program Manager of Military Defense Programs and Partnerships.

 

Your Specific Responsibilities:

  •  Create and manage both hard copy and electronic files.
  • Manage and update project spreadsheets.
  • Handle correspondence and electronic filing.
  • Independently completes special assignments, research, and reports as requested by the Director of the Office of Military and Defense supervisors.
  • Assist with information and public records requests as necessary.
  • Meet with project team members to identify and resolve issues.
  • Preparing status reports by gathering, analyzing, and summarizing relevant information.
  • Initiate phone calls and/or virtual meetings to gather information and coordinate M&D related projects.

 

 Required Knowledge, Skills, and Abilities:

  •  Knowledge of military terminology, protocol, organization, and rank structure.
  • Ability to organize and prioritize work assignments.
  • Ability to work independently and as a team member.
  • Ability to coordinate and direct office services.
  • Ability to exercise sound judgement while representing the Department’s best interest.
  • Ability to meet deadlines without sacrificing accuracy, customer service, or ethics.
  • Effectively handle multiple tasks while completing assignments in a timely manner.
  • Ability to compile data from a variety of sources and present in a logical manner.
  • Ability to assign, prepare, track, review assignments.
  • Ability to create and organize hard copy and electronic files.
  • Skill and proficiency using Microsoft Suite including Word, Excel, PowerPoint and Teams.

 

Qualifications:

 As a condition of pre-employment eligibility, a Level 2 security background screening is required, which consists of fingerprinting and a check of local, state, and national law enforcement records.
