General Summary
This position works under the direct supervision of the Clerk of the Commission performing detailed and technical tasks for the Clerk of the Commission, the Commission and the Commission legal staff. The duties require knowledge of the clerk’s office procedures and practices, a thorough knowledge of legal terminology, procedures and the organizational structure of the Commission.

 

Duties and Responsibilities:
This position will serve as a back-up to all the full-time positions in the Commission’s Clerk Office and be able to perform all the following duties when needed including:
•    Appropriately screening and routing all inquiries and telephone calls, answering general informational questions from the parties and the public regarding Commission forms and practices. Screening telephone calls for ex parte communications and press inquiries.
•    Greeting and assisting all walk-in guests and hearing participants who request Commission assistance.
•    Processing, date stamping, sorting, copying, scanning, and distributing all incoming mail, faxes and e-filings for the Commission. Distributing mail to staff members twice daily. 
•    Assisting with docketing pleadings and inputting data into CMS when needed.
•    Establishing all newly filed employment, labor, and miscellaneous cases. Determining the type of case filed, assigning a case number, retrieving and assembling all pertinent documents, creating a hard copy file, and making necessary entries into the Case Management System.
•    Generating orders and notices, including Notices of Sufficiency, Orders Appointing Hearing Officer, Orders Appointing Hearing Officer and Directing Response, and Orders Reassigning Hearing Officer.
•    Timely issuing orders from the Commission, Hearing Officers, and the Clerk the same day they are put into the O Drive by docketing them in CMS, serving them electronically and/or via certified mail, and completing the route cards in iPERC.
•    Handling Commission court cases and preparation of records on appeal which includes submission of all included documents pursuant to a strict timeline as required by the appellate courts.  Issue cost letters and process payments.  Docketing/inputting case activity in Case Management System.  Responding to inquiries related to appellate cases on behalf of the Commission.
•    Docketing all filings of information received using specific filing codes in the Case Management System, scanning and attaching all material in database, auditing and updating information as required in Case Management System as necessary and filing material in the original case files for Career Service and Labor cases.
•    Issuing subpoenas for Career Service cases.  This includes entry of required information on subpoena, authorizing signature and seal, transmission to the parties, scanning and docket entry in the Case Management System.
•    Preserving and downloading hearing recordings when needed.  This includes transferring files to back up hard drive and converting to MP3 format.  Wiping clean all recorders and returning them to secure location for future use by hearing officers.  Maintaining all hearing recordings, cataloging and burning them for purchase.
•    Converting old cases on microfilm to .pdfs using a Commission-specific program, ensuring the copies are all legible and complete.

 

Pay is $20.00/Hourly
This position is not eligible for remote work.


 
Knowledge, Skills, and Abilities:
This position must be proficient in Microsoft Office, including Word, Outlook, and Excel. 
Must also be familiar with Case Management Systems and proficient in data entry. 
Excellent organizational skills and attention to detail. 
Familiarity with standard office equipment including multi-line phone system, copiers, scanners, and printers.
