Your Specific Responsibilities:

This is a highly responsible position assisting office level management with the coordination of administrative tasks and assignments of a complex nature. This position is under the direct supervision of the Strategic Projects Manager within the Division of Public Health Statistics and Performance Management. The work involves performance of administrative activities and independently planning administrative objectives. This position works with the Strategic Projects Manager and the program managers within the Health and Resources Access Section to assist in the development and implementation of opportunities to achieve organizational excellence.

  • Assist the Strategic Projects Director in a variety of administrative duties including correspondence, scheduling meetings, answering phone calls and taking meeting minutes.
  • Partners with division’s Personnel Liaison to assist in the areas of recruitment, classification, time and attendance, and other personnel matters as requested.
  • Coordinates verbal and written communications and assignments for the programs under the Health Resources and Access Section.
  • Assists staff with travel authorizations and reimbursements.
  • Reviews, assigns, prepares, and tracks correspondence assignments within required time frames and drafts email correspondence as needed. Keeps an electronic log of these items and tracks associated performance metrics.
  • May assist with purchasing by using the State Purchasing Card program and the MyFloridaMarketPlace online systems. This may include research, like requesting quotes from hotels and vendors as required.
  • Proofreads documents, prepares agenda materials, and performs other departmental administrative assignments.
  • Works on special projects as assigned by the Strategic Projects Manager for the Health Resources and Access Section and the Division of Public Health Statistics and Performance Management.
  • Other duties as assigned, including providing assistance as needed in response to and recovery following natural or man-made disasters.

Required Knowledge, Skills, and Abilities:

  • Knowledge of administrative and clerical procedures and systems.
  • Knowledge of the organizational and functional responsibilities and operations of an organization required to coordinate the work of the office with the work of other offices and for recognizing the need for such coordination in various circumstances.
  • Knowledge of various office automation software programs (e.g., Microsoft Products), tools, and techniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs.
  • Excellent grammatical and written skills.
  • Strong time management skills.
  • Knowing how to find information and identifying essential information.
  • Excellent communication skills, including listening, verbal and written.

Qualifications:

  • Minimum- 1-year clerical, administrative or customer service experience
  • At least 2 years’ experience with Microsoft Office Suites programs (Word, Excel, PowerPoint, and Outlook)
