Position Summary

This position processes various administrative duties for the Director of Administration as assigned.

 

The Work You Will Do 

  • Acts as record custodian for the Division of Administration and Facility Operations. Responsible for controlling the purging and preparation of records for storage.

 

  • Provides administrative support to include tracking assignments, preparing correspondence, scheduling meetings, trainings, and various other office activities. Make travel arrangements and processes travel reimbursements for all team members that are in the Division of Administration and Facility Operations office as needed.

 

  • Responsible for purchasing duties for assigned units. Tracks and reconcile expenditures.

 

  • Serves as HR liaison, prepares advertisements and request to hires. Assist with other HR processes for Division as needed.

 

  • Performs other duties as assigned.

 

Minimum Qualifications

  • 3-5 years of administrative experience

 

  • Preference will be given to candidate with experience as assistant for executive management

 

  • Preference will be given to candidates with experience with statewide accounting and purchasing systems.

 

Knowledge, Skills, And Abilities

 

Knowledge of:

  • basic management principles and practices.

 

  • tracking legislative budget and proposed bills.

 

Knowledge of and ability to:

  • Understand and apply applicable rules, regulations, policies and procedures relating to operational and management analysis activities.

 

Demonstrates skills in:

  • Microsoft Office to include Word, Excel and Outlook.

 

Ability to:

  • Organize data into logical format for presentation in reports, documents and other written materials.

 

  • Collect, evaluate and analyze data to develop alternative recommendations, solve problems, document work flow and other activities relating to the improvement of management practices..

 

  • Conduct fact find-solving research.

 

  • Work independently.

 

  • Plan, organize and coordinate work assignments.

 

  • Communicate effectively.

 

  • Establish and maintain effective working relationships with others.

 

  • Learn Agency statewide accounting and purchasing systems.

 

  • Assist with travel arrangements.

As a condition of employment, a person appointed to a position in the State Personnel System is required to participate in the Direct Deposit Program.  Rather than receiving a paper paycheck, your funds will be deposited directly into your account at your financial institution. This will be accomplished by Electronic Funds Transfer. Banks, savings and loan associations, and credit unions are eligible to accept such deposits. Retirement funds are also required to be in the Direct Deposit Program.

Background Screening Requirement

It is the policy of the Florida Agency for Persons with Disabilities that applicants for employment undergo Level 2 employment screening in accordance with the requirements of Chapter 435, Florida Statutes, as a condition of employment or being permitted to serve as a volunteer.
