This is a professional position in the Public Access Services Office of the Florida Fish and Wildlife Conservation Commission. This position provides significant finance and budget assistance to the Business Manager and program staff. It requires a high degree of judgement, business management skills and attention to detail.

The incumbent is expected to work as an effective member of the office management team and independently with limited supervision. The team is an important part of helping the Office and the Agency achieve its mission of conserving wildlife for their long-term well-being and the enjoyment of people. The successful candidate will demonstrate knowledge, skill, and ability in performing duties related to accounting, purchasing, invoicing and financial oversight in accordance with State of Florida laws, standards, policies, and procedures. The major responsibilities of the position include:

 

  • Financial tracking: prepares and maintains complex spreadsheets and charts - tracks and reconciles purchases/invoices for construction projects and other services. Must possess advanced skills in Excel.
  • Reviews and submits invoices in My Florida Market Place (AOD)  [LJ1] in an accurate and timely manner. Ensures all vendors are paid in accordance with F.S. 215.422.
  • Research vendor invoices for discrepancies.
  • Prepares journal transfers.
  • Assist with financial management including routing contacts, creating task assignments, change orders, contract invoices and monitoring contracts to ensure State of Florida compliance.
  • Responsible for maintaining selected fiscal contract and grant files in auditable condition.
  • Creating accurate FACTS forms and submitting to Finance and Accounting for entry.
  • Makes recommendations regarding accounting and finance processes for office improvement.
  • Purchases supplies and equipment for office utilizing State of Florida P Card.
  • Assists office staff with purchasing card transactions, MFMP, e-quotes and other purchasing methods.
  • Provides other administrative assistance as needed.

      Education, Experience and Abilities

 

A bachelor's degree from a college or university and three years of professional experience in accounting work. Experience with a State Agency preferred. A master's degree from a college or university can substitute for one year of the required experience.

Professional or nonprofessional experience as described above can substitute on a year-for-year basis for the required college education.
 

Excellent organizational skills, attention to detail and commitment to customer service. Proficient in oral and written communications, correct grammar, punctuation, and spelling. Able to identify math operations needed to complete tasks and correctly perform calculations. Proficient in work-related tasks using Microsoft Office Word, Outlook and Excel.

 

Preferences:

Strong Microsoft Excel Skills with the ability to create complex spreadsheets useful in analyzing data. MFMP (AOD) experience.
