OPS Full-Time: $22 per hour, 40 hours per week

 

 

GENERAL POSITION DESCRIPTION:

The duties of this position are coordinating events, fulfilling merchandise requests, procuring merchandise and office supplies, executing Lottery Partnerships contract deliverables, reviewing proofs of performance and performing contract close-outs, and fulfilling other communications responsibilities while maintaining the Strategic Partnerships workflow in a timely fashion. In most cases, the employee may be asked to perform duties related to merchandise inventory management, including merchandise ordering, receiving, issuance and shipping. Additionally, this position assists with the implementation of creative and comprehensive public relations strategies that successfully generate positive earned media coverage of the Lottery’s external partnerships. This role is essential to the Florida Lottery’s mission to enhance education throughout the State of Florida. This person must be detail-oriented, creative, able to work well under pressure, identify and track workload measures,  know how to effectively manage multiple projects and deadlines simultaneously, and be able to represent the Florida Lottery professionally, travel and work on weekends and after hours as needed.  This position may also be required to speak publicly at events as relates to the Bright Futures Scholarship. The employee will have the opportunity to network and connect with many Florida Lottery partners across the State, our district office employees and work in the executive Suite.

 

ESSENTIAL DUTIES:

  • Each employee is expected to be knowledgeable of the Lottery’s educational enhancement mission and develop a basic understanding of the Bright Futures Scholarship Program.
  • Reviews, evaluates, and tracks all requests for sponsorships/partnerships and makes recommendations.
  • Helps to coordinate the Lottery’s participation in all contracted partnerships, including the negotiation, planning, reviewing of proposals, drafting of agreements, contract management, proofs of performance and contract close-outs.
  • Assists with the development and tracking of on-going sponsorships and agreements.
  • Coordinates and communicates event dates and logistics and reviews dates and staffing requirements with the District Managers.
  • Works closely with the Chief of Staff and Office of the Secretary to plan and execute engagements and partnerships where the Secretary’s involvement will be necessary.
  • Performs routine clerical duties including answering and routing telephone calls and responding to internal and external emails.
  • Serves as the Administrator of the Partnerships and Bright Futures Outlook E-Mail.
  • Maintains, tracks, and develops the Bright Futures recipient database.
  • Assists with contract folder creation both manually and electronically, as well as assists with the archiving of contract folders as needed.
  • Assists with the procurement of promotional merchandise and the inventory management for Lottery district offices.
  • Performs warehouse-related duties including shipping, receiving, and organizing, which may require lifting/moving up to 50 lbs.
  • Compiles and analyzes data for administrative decisions, including special assignments, research, and report preparation.
  • May be required to participate in internal and external events by staffing, taking professional photos, setting up and breaking down event tables, tents, providing promotional merchandise for distribution and set up, as well as perform public speaking, needed.
  • Has the ability to operate a motor vehicle as required to fulfill the position’s duties, which may include overnight travel and reserving and using state-owned vehicles.
  • Ensure compliance with all applicable rules, regulations, policies, and procedures.
  • May be required to plan, create, and execute media relations elements to bolster the Lottery’s external partnership efforts; this includes remarks for executive staff, media releases, social media posts, e-blasts, and other media relations/marketing materials as needed.
  • Develops relationships with community leaders and serves as the organization's liaison with various constituents.
  • Creates various graphic design PowerPoint slides for presentations, flyers for events, social media posts and other public facing content.
  • Assists in planning and executing other communications-related projects as needed.
  • Regular attendance is an essential function of this position.
  • Performs other duties as required.

  • Knowledge of safety practices, policies, and procedures in a warehouse environment.
  • Ability to coordinate and monitor tasks and special projects as assigned to ensure completion in a thorough and timely manner.
  • Proficient in social media platforms, including X (formerly Twitter), LinkedIn, and YouTube.
  • Ability to work independently, self-starter.
  • Ability to work in a fast-paced environment.
  • Detail oriented, with the ability to recognize, diagnose, and resolve issues at a high level.
  • Ability to quickly learn new concepts and procedures.
