This is an on-site position in Tallahassee, FL

 

Duties and Responsibilities:

  • Plan, initiate, and carry to completion clerical, secretarial, and administrative activities for each assigned Hearing Officer and be responsible for knowing the priorities of the Legal Division and the order in which the assigned work should be done. 
  • Proofread and edit hearing officers' recommended orders, Commission final orders, and other legal documents in draft and final form, for spelling, grammar, punctuation, syntax, usage, and consistency to ensure the final work product is error-free and accurate. 
  • Prepare standard notices, pre-hearing orders, and other correspondence in connection with hearings, as directed. Communicate with parties regarding scheduling conference calls, hearing dates, or other matters pertinent to case management 
  • Prepare and submit orders for publication to external databases, such as the DOAH final order repository, Westlaw, and LexisNexis. 
  • Enter into and/or revise information in CMS, as directed. 
  • Assists with workload for the Commission, including the Legal Division and Elections Division, when other administrative staff have work overflow or are absent. 
  • Perform such other duties as may from time to time be assigned by the General Counsel, Deputy General Counsel, or Chair of the Commission.

 

Knowledge, skills and abilities, including utilization of equipment, required for the position: 

  • Knowledge of administrative and clerical procedures and systems.
  • Knowledge and proficiency of computer software, including Microsoft Word, Excel, and Outlook.  
  • Excellent command and understanding of standard grammar and the English language, and general fluency in proofreading marks.
  • Strong communication skills (listening, written, and verbal) suitable for a professional working environment.
  • Ability to work effectively with others as well as independently, with or without close supervision.
  • Ability to prioritize work assignments and concentrate for long periods of time.

 

Minimum Requirements:           
A high school diploma or its equivalent
Three (3) years of clerical, administrative, customer service, legal office, or records-related experience

Must possess a high school diploma or the equivalent, plus at least three years of clerical or administrative experience. Vocational/technical training or college coursework from an accredited instituion can substitute for the required experience. Adheres to safety awareness policies in the workplace, views safety videos when presented and attends required safety meetings. Successful completion of a Level 2 background screening.
