The Work You Will Do:
The Division of State Lands, as Florida’s lead agency for environmental management and stewardship, serves as staff to the Board of Trustees of the Internal Improvement Trust Fund (Governor and Cabinet). As such, the division’s role goes far beyond just acquiring lands for protection. It provides oversight for the management of activities on more than 12 million acres of public lands including lakes, rivers and islands. These public lands help ensure all Florida’s residents and visitors can truly appreciate the state’s unique landscapes.
The Difference You Will Make:
The Bureau of Real Estate Services (BRES) is responsible for activities related to the negotiation, acquisition, disposition, exchange, donation and closing of real property as agents to the Board of Trustees (BOT) of the Internal Improvement Trust Fund. In addition, Bureau staff are responsible for the management of statewide contracts for title and closing services, as well as environmental site assessments. BRES partners with other DEP divisions, water management districts and other state agencies as land managers to successfully negotiate terms to achieve mission critical needs.

Your Specific Responsibilities:
Oversees post-closing scanning preparation for closed land acquisition files and coordinates the schedule of sending boxes to contracted vendors for scanning.
Communicates information found in closed files for internal and external customers; assists w/ maintenance of database of all files/boxes sent to internal storage section; coordinates with the file retention section the status of all boxes in storage and their retention period.
Assists as needed with post-closing data and requests and with problem resolution of outstanding post-closing issues; monitors closing files for completeness; and takes all actions necessary to obtain any missing documents and corrections to documentation provided. Ensures corrections are completed in a timely manner.
Provides administrative support to staff to include but not limited to: receiving and distributing mail; shipping packages; recording, tracking, and reporting assignments; tracking the correspondence control assignments and ensuring timely submittal of responses; providing file research and organization and records retention support; providing backup support to division main phone lines and answering telephone calls in a professional, courteous and effective manner and accurately transmitting information to the appropriate staff; providing assistance with bureau correspondence and documents in both electronic and paper formats, including prepping and scanning files.
Assists staff with administrative support as needed with project data entry into APIS and project file organization and coordinating, maintaining and preparing of completed files for transfer to Title and Land Inventory Tracking System (LITS) data entry for dispositions.
Performs other duties and special projects as assigned.
Required Knowledge, Skills and Abilities:
Knowledge of: standard business formats and styles for letters and business forms; office procedures and practices; the principles and techniques of effective communications; the methods of data collection. Skill in: using a computer. Ability to: organize files and other records; compile and analyze data for administrative decisions; organize and maintain records management systems; to perform basic arithmetical calculations; use correct spelling, punctuation, and grammar; type letters, memoranda and other standard business forms in correct format; operate general office equipment; handle telephone calls in a courteous and effective manner; plan, organize and coordinate work assignments; communicate effectively; establish and maintain effective working relationships with others; demonstrate teamwork.
