This position works under the general supervision of the Deputy Director of Public Health Research in the Biomedical Research Section and provides back up to Section staff.  This position provides direct support to Biomedical Research staff by performing administrative and contract assistance duties. The position requires working cooperatively with a wide range of staff, seeking solutions to routine problems and issues within established office policies and procedures, guidelines and rules and performing in a highly responsible and timely matter.

 

Performs the following responsibilities for staff: travel authorizations and reimbursement, purchasing, logistics, and general office administrative functions. Works with advisory board members on paper travel requests and travel reimbursement. Coordinates travel for speakers of Biomedical Research events. Works with the speakers and their staff to ensure smooth reimbursement for travel.

 

Finalizes correspondence and reports and performing other office support functions as assigned. Maintaining files (includes archiving old files). Takes lead on contract staffing purchase orders, annual renewal purchase orders, and purchasing office supplies. Finalizes certificates and meeting materials. Completes proofreading for multiple reports and documents.

 

Assists in scheduling and arranging meetings, audioconferences, web-conferences, conference calls and other events or meetings including meeting and room arrangement, reservation of conference or video-conferencing lines, and on-site hosting. Coordinates with outside vendors to arrange for meeting venues, contracts, and logistics. This includes arranging for pre-shipments of items, working with the program administrator and legal on hotel and meeting contracts. Coordinates with budget coordinator and purchasing to arrange for payment.

 

Provides administrative functions related to research grant management. This includes folder development, processing invoices and change requests, and working with researchers and administrative staff for the effective management required in the Grant Management Manual.

 

Responsible for logging routed folders into WorkFlow for Biomedical Research for tracking purposes and transport folders and/or interoffice correspondence.  Follows up on WorkFlow assignments to ensure all assignment and/or folders are closed out in a timely manner per department procedures. Performs other related duties as assigned.

 

 

Required Knowledge, Skills, and Abilities:

  • Skill in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
  • Ability to utilize problem-solving techniques.
  • Ability to plan, organize and coordinate work assignments.

  • Ability to establish and maintain effective working relationships with others.
  • Ability to accurately prepare and maintain records, files and reports.
  • Knowledge of the principles and practices of purchasing.

 

Qualifications:

  • State of Florida government experience,
  • Administrative or clerical experience with four years of experience, or
  • A bachelor's degree from an accredited college or university and one year of administrative experience.
