Your Specific Responsibilities:
This position works under the general supervision of the Deputy Director of Public Health Research in the Biomedical Research Section and provides back up to Section staff. This position provides direct support to Biomedical Research staff by performing administrative and contract assistance duties. The position requires working cooperatively with a wide range of staff, seeking solutions to routine problems and issues within established office policies and procedures, guidelines and rules, and performing in a highly responsible and timely matter.
Coordinates responses to the Section’s general inquiry email inboxes. This includes responding to routine inquiries, assigning more complex inquiries to the appropriate Section staff, and tracking responses.
Assists with scheduling and conducting both virtual and face-to-face meetings, including determining optimal dates and times, inviting appropriate stakeholders, producing and disseminating agendas, and recording meeting minutes.
Assists Section staff with maintaining grant management files and tracking grant invoice payments.
Maintains the record retention schedule. Coordinates destruction or archiving of records as appropriate.
Tracks key processes, dates, and activities for the Section as directed by the Deputy Director for Public Health Research. Issues reminders to appropriate stakeholders as necessary.
Assists with travel authorizations and reimbursement for Section staff, Council Members, and other stakeholders as directed.
Takes lead on contract staffing purchase orders, annual renewal purchase orders, and purchasing office supplies.
Performs other related duties as assigned.
Required Knowledge, Skills, and Abilities:
Skill in Microsoft Office Suite, including Excel, Outlook, Teams, Word, and PowerPoint. Skill in Adobe Acrobat. Knowledge of State purchasing and travel rules and guidelines; administrative and office procedures and practices; standard business formats and styles for letters and business forms. Skills to operate standard office equipment; organize information and files; manage time effectively to complete multiple assignments on time; provide high levels of customer service to staff, callers and visitors. Ability to establish effective and cooperative working relationships with others; communicate effectively verbally and in writing; identify problems and propose solutions.
Qualifications:
- State of Florida government experience and
- Administrative or clerical experience with one year of experience or
Preferred:
- A bachelor's degree from an accredited college or university.
