Your Specific Responsibilities:

  • Track, maintain, and monitor budgets for assigned federal grants.
  • Prepare and review monthly spending plans, projections, and expenditure reports, ensuring timely communication with the division management staff and division program staff.
  • Provide technical assistance on grant and budget issues, generating fiscal reports from FLAIR and FIS to monitor expenditures.
  • Reconcile monthly encumbrances and expenditures.
  • Coordinate the preparation, review, and approval of purchase orders, collaborating with internal departments to identify purchasing needs and gather documentation.
  • Monitor procurement processes, communicating with vendors and contractors to resolve discrepancies and ensure timely issuance of purchase orders.
  • Conduct regular invoice reconciliation and track expenditures against budget allocations.
  • Maintain detailed records of procurement activities, including purchase orders, contracts, and payment histories, to support audits.
  • Assist in drafting annual federal grant budgets, continuation applications, and year-end expenditure reports.
  • Collaborate with the Division Operations Administrator to address and correct discrepancies in budgets, grants, or procurement in a timely manner.

Required Knowledge, Skills, and Abilities:

The candidate for this position should possess knowledge of financial tracking, auditing, and procurement processes, with proficiency in Microsoft Excel and a willingness to learn financial systems like FLAIR or FIS. Strong analytical and organizational skills are essential for reconciling expenditures and maintaining accurate records. Candidates should demonstrate effective communication and collaboration abilities to work with program staff, vendors, and finance teams. A basic understanding of state procurement guidelines is preferred, along with attention to detail and the ability to manage multiple tasks in a fast-paced environment.

Qualifications:

Minimum –

  • Strong analytical, organizational, and communication skills.
  • Attention to detail and ability to manage multiple priorities.
  • Proficiency in Microsoft Excel.

Preferred –

  • Experience with federal grant management, invoice auditing and reconciliation, and state procurement processes.
  • Knowledge of statutory compliance for invoice processing and prompt payment requirements.
