Your Specific Responsibilities:

 

The OPS Senior Clerk will provide quality customer service, greet visitors, and handle routine questions. This is an independent position that provides administrative support to the Director’s Office staff in the Division of Emergency Preparedness and Community Support. This position will be responsible for a multitude of job functions in the division that will have a direct impact on bureaus.

 

Provides administrative support to the staff in the Director’s Office to include filing, scanning, copying, faxing, answering multi-line phones, sorting and delivering mail, ordering supplies and sending out routine emails for meeting notices, request for information etc.

 

Maintain organization and ordering of supplies, handles surplus and iventory within the Director’s Office Suite.

 

Ensures copier is maintained each day with paper and ensures all error messages are handled appropriately.

 

Responsible for submitting tickets to the appropriate DOH Administration or IT Office on behalf of staff in the Director’s Office.

 

Keeps up-to-date on the latest DOH procedures and policies.

 

Disseminates information via various methods i.e., e-mail, flyers, posters, one-on-one briefs or in group settings. 

 

Serves on and supports special events and committees.

 

Other duties and responsibilities as assigned.  Participating in support rotation as needed for bureau housekeeping and/or bureau programmatic administrative support.

  • Skill in Microsoft Office applications, including Word, Excel, PowerPoint and Access.
  • Ability to collect, evaluate and analyze data relating to administrative functions. 
  • Ability to prepare correspondence and administrative reports. 
  • Ability to work independently and communicate effectively. 
  • Skill in communicating effectively, verbally and in writing.
  • Skill in providing customer service to internal and external stakeholders in a tactful, courteous and non-judgmental manner.
  • Skill in Microsoft Office applications, including Word, Excel, PowerPoint and Access.

 

 

Preferred Qualifications
Preference will be given to candidates with the following:

  • High School Diploma and 1 year of office clerical experience. 
  • Pays attention to detail.
  • Works independently with minimal supervision.
