Your Specific Responsibilities:

Serves as the first point of contact to the customers and maintains effective working relationships with others to include bureau personnel and works closely with bureau’s Administrative Assistant II.    

 

Serves as back-up to the Staff Assistant to ensure that all mail received is distributed properly and timely daily. This includes checks received in the mail or by hand delivery are to be date stamped and logged into the CORTNE system by 2pm of that same day and that checks, and debit memos received in the afternoon mail are date stamped and logged into the Debit Memo system no later than the close of business of that same day. Responsible for notifying appropriate staff that checks are logged and ready for deposit.    

 

Responsible for the scanning and submission of all grant related materials (files) in a timely manner, not to exceed sixteen (16) working hours from the time the materials are received from the grant analysts.     

 

Responsible for scanning documents into an electronic format and index filing. Scanning is conducted on a special scanner purchased just for this purpose. 

 

Maintains efficient tracking logs to include receiving and the distribution of NOI and SEFA Folders that are received by the Division.    

 

Responsible for special projects as identified by management and performs other duties as required by the Health Financial Managers, Bureau Chief of Budget Management, or the Administrative Assistant II.  

  

Provides clerical support relating to the key functions of the Revenue Management section and other areas within the Division as needed. Requires independent decision-making. 

   

Maintains an office filing system in a logical, organized manner and assist in office records management to include archiving bureau records. Files and retrieves documents as needed using scanning technologies when appropriate. 

  

Serves as back-up to Staff Assistant for the main phone line and routes calls to appropriate staff or offices.   

  

Performs other duties as assigned.   

 

*Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency.  Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.

Minimum – High School Diploma or equivalent.
