Position Overview and Responsibilities:

This position is not eligible for telework.
Work schedule: Monday through Friday, 8:00 a.m. – 5:00 p.m.

 

Primary Responsibilities

Executive Office Support

  • Provide administrative and operational support to the Director’s Office.
  • Assist leadership and management staff with a variety of assignments, special projects, and time-sensitive requests.
  • Maintain professionalism and confidentiality while handling sensitive or confidential information.

 

Mobile Device Program Administration

  • Coordinate departmental mobile device activities, including purchasing, activation, replacement, inventory tracking, and account maintenance.
  • Maintain accurate databases and records related to departmental telecommunications accounts.
  • Correspond with vendors, service representatives, and departmental staff to resolve issues and provide guidance.

 

Security and Visitor Management

  • Serve as back-up support for the security desk as needed.
  • Greet and assist internal and external customers, visitors, contractors, and agency partners.
  • Monitor surveillance systems and notify appropriate personnel of visitors or security-related concerns.
  • Coordinate visitor escorts and ensure compliance with building security procedures.

 

Access Control Administration

  • Assist with employee badge access and building security functions.
  • Capture employee photographs, print access cards, and update electronic access records.
  • Maintain accurate access control records and ensure timely updates.

 

Administrative and Operational Support

  • Answer, screen, and direct incoming telephone calls to appropriate personnel.
  • Assist staff with WEX PIN administration and related account support.
  • Support motor pool operations by assisting with:
    • Audit reports
    • Driver license verification
    • Electronic reservation system administration

 

 

Required Knowledge, Skills, and Abilities:

  • Ability to work independently with minimal supervision.
  • Exceptional organizational skills and attention to detail.
  • Strong customer service and interpersonal communication skills.
  • Ability to manage multiple competing priorities while meeting deadlines.
  • Experience maintaining databases, records, and tracking systems.
  • Ability to exercise sound judgment and maintain confidentiality.
  • Proficiency with Microsoft Office and electronic business systems.
  • Ability to adapt quickly to changing priorities and operational needs.
  • Commitment to professionalism, accountability, and public service.

 

 

Minimum Qualifications:
At least two years of verifiable related experience. Post-secondary degrees from an accredited college or university with a major in may be used as an alternative for the required years of experience on a year-for-year basis. A credential evaluation report from an approved agency must be submitted along with all foreign degrees.

 

 

Position of Special Trust Requirement:

This position is designated as a Position of Special Trust in accordance with DEP Directive 422, Positions of Special Trust or Responsibility. Successful completion of background screening will be required for this position.
