JOB DESCRIPTION
The OPS Staff Assistant position is responsible for providing high-level administrative support for the Operational Support Section primarily focused on Joint Enforcement Agreement (JEA) /Offshore Patrol Vessel (OPV) Program and other mission-related functions. This includes but is not limited to handling information requests, assisting constituents, performing administrative and clerical functions such as preparing correspondence, compiling monthly reports, arranging conference calls, scheduling meetings, and coordinating travel.
Duties and Responsibilities
- Maintains various databases, assists with filing, maintaining, and retrieving documents related to Agency’s JEA, Reports, files, maintains, arranges for storage, retrieves, or reproduces documents related to the OPS Support Section to include K-9, SOG, and Reserve Programs etc.
- Assists with internal Operational Support Section website updates and file maintenance.
- Assists with the preparation and filing of travel documents for Operational Support Section travel and securing of travel accommodations for annual training events within the Operational Support Section.
- Generates and completes Purchase Order documents, for purchases within the Section.
- Functions as the sections State of Florida purchasing card (PCard) Accountholder. Assists with purchasing requests, processes invoices, and transactions in Pcard Works. Responsible for adhering to all Agency and State of Florida purchasing rules and guidelines.
- Assists in answering FWC Division of Law Enforcement telephone line.
- Reviews, assigns, prepares, and tracks correspondence assignments.
- Handles other administrative duties as assigned. Provides assistance as needed and as assigned in the absence of other administrative staff.
- Maintains electronic correspondence files and databases to access permits and correspondence.

Ability to effectively communicate verbally and in writing. Ability to communicate effectively with the public in a courteous and professional manner. Ability to read and understand applicable rules, regulations and directives. Ability to use computer. Ability to set up and organize office files. Ability to work independently. Ability to prepare correspondence and administrative reports. Ability to establish and maintain effective working relationships with others.
LEVEL 2 BACKGROUND INVESTIGATION / FINGERPRINTS REQUIRED
MINIMUM QUALIFICATIONS
- Must have administrative experience.
- Preferred prior experience creating analytical reports using large data sets from multiple databases.
- Must have experience in Microsoft Suite and Excel
- Must have prior customer service experience.
