GENERAL DESCRIPTION:
This position plays a critical role in supporting the Florida Lottery’s Strategic Partnerships program, with a strong focus on contract management, event coordination, and public engagement to further the Lottery’s mission of enhancing education in Florida. The role requires attention to detail, professionalism, the ability to manage multiple projects and deadlines simultaneously, and the flexibility to travel and work evenings and weekends as needed.
ESSENTIAL DUTIES:
Contract Management Responsibilities:
- Reviews, evaluates, scores, and tracks partnership proposals; prepares proposal acknowledgment and decision notifications.
- Drafts, routes, and tracks contracts and amendments; completes contract summary forms and contract review checklists.
- Facilitates the contract lifecycle, including execution, monitoring deliverables, verifying payments, reviewing proofs of performance, completing close-out documentation, and conducting file audits.
- Uploads and maintains required documentation in the Florida Accountability Contract Tracking System (FACTS).
- Maintains and updates contract-related tracking tools and spreadsheets, including budget tracking and performance metrics.
- Coordinates with internal departments (such as Legal, Procurement, and Finance) to ensure compliance and timely processing.
- Assists with updates to partnership forms, standard operating procedures (SOPs), and contract templates.
- Provides contract-related support for Lottery-funded events and merchandise fulfillment tied to contractual obligations.
Event and Partnership Coordination:
- Coordinates the Lottery's participation in events tied to formal partnerships, including scheduling, logistics, and on-site execution.
- Communicates regularly with District Offices and partners to plan engagements and manage deliverables.
- Serves as liaison for Lottery partnerships, including Bright Futures Scholarship-related initiatives.
- Maintains the Bright Futures Testimonial Database and oversees outreach tracking.
Administrative and Support Duties:
- Serves as administrator of the Partnerships and Bright Futures Outlook inboxes.
- Assists with merchandise and warehouse operations including inventory management, ordering, receiving, and shipping as applicable/needed.
- Maintains accurate records, assists with archiving, and copies finalized contracts and supporting documentation to the Lottery’s Contract Repository.
- Performs general administrative tasks, including phone and email communication.
Additional Responsibilities:
- Represents the Lottery at public events, including speaking engagements related to Bright Futures.
- Works closely with leadership, including the Chief of Staff and Office of the Secretary, on high-profile engagements.

- Must have strong organizational skills and attention to detail.
- Knowledge and experience with MyFloridaMarketplace (MFMP)
- Holds and maintains a valid driver's license.
- Ability to work a flexible work schedule which may include nights, weekends, and holidays.
- Ability to lift/move 50 lbs.
- Ability to respond to business partners and the public tactfully and courteously.
- Demonstrates strong analytical, critical thinking, and problem-solving skills.
- Exceptional interpersonal and communication skills.
- Ability to establish and maintain strong, effective working relationships with others.
- Knowledge of AP writing style.
- Strong writing, proofreading and editing skills.
- Proficient in Microsoft Office, primarily Word, Excel, PowerPoint, Outlook, and Teams.
- Proficient in Adobe and Canva.
- Knowledge of safety practices, policies, and procedures in a warehouse environment.
- Ability to coordinate and monitor tasks and special projects as assigned to ensure completion in a thorough and timely manner.
- Ability to work independently, self-starter.
- Ability to work in a fast-paced environment.
- Detail oriented, with the ability to recognize, diagnose, and resolve issues at a high level.
- Ability to quickly learn new concepts and procedures.
