 WORKING TITLE: PARALEGAL SPECIALIST

 

This open competitive advertisement is for a Career Service position located at Central Office in Tallahassee, FL in the General Counsel Office.

 

The purpose of this position is to manage and coordinate the department's legal compliance and record disclosure processes, specifically by ensuring subpoenas are thoroughly researched, redacted, and answered on time to protect the agency from legal or financial penalties. 

 

This position is not a telework position and is required to report to the FDC office in the area it serves.

JOB DUTIES:

  • Independently manage and process various subpoenas served on the Department and staff, including trial, witness, deposition, and specialized subpoenas.
  • Create and update detailed checklists to monitor compliance for personnel, inmate medical, classification, and other records.
  • Conduct thorough research and gather documentation for attorney procedure reviews.
  • Coordinate confidential information review and redaction, determining releasable records and communicating with requesting attorneys.
  • Ensure timely subpoena responses to avoid monetary penalties and Contempt of Court issues.
  • Initiate and maintain communication with Department members, outside agencies, and attorneys to guarantee subpoena compliance.
  • Handle emergency subpoenas, draft and update correspondence, assist attorneys with complex cases, and maintain comprehensive electronic and case tracking records.
  • Manage inmate correspondence processing, draft inmate communications as directed, maintain logs, and provide backup support including multi-line phone management.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent telephone and customer service skills.
  • Excellent writing skills.
  • Experience with Microsoft Office programs (Excel, Access, Word, Outlook).
  • Knowledge of basic management principles and practices.
  • Ability to collect, evaluate and analyze documents to develop alternative recommendation, solve problems, document workflow, and other activities relating to the improvement of management practices.
  • Ability to organize documents in a logical format for presentation to the requestor.
  • Ability to apply fact-finding and problem-solving techniques.
  • Plan, organize and coordinate work assignments.
  • Ability to utilize problem-solving techniques.
  • Ability to work independently.
  • Ability to understand and apply applicable rules, regulations, policies and procedures relating to management analysis activities.

REQUIREMENTS:

  • Must have experience drafting mental health documents.
  • Must have experience processing electronic or hard copy mail that is received.
  • Must have six (6) months of paralegal or legal secretary experience.

PERFERRED QUALIFICAITONS:

  • Experience with being involved in a discovery project with an attorney.
  • Experience redacting documents.
  • Experience scheduling and/or calendaring for an attorney.
  • Experience answering and routing telephone calls using a multi- line phone.

BACKGROUND SCREENING REQUIREMENT
