Position Overview and Responsibilities:
This position reports to an Operations Management Consultant II in the Director’s Office in the Division of Air Resource Management and will conduct organizational studies and evaluations on office procedures providing technical assistance and developing procedures to assist the Division of Air Resource Management to operate more efficiently and effectively. The responsibilities of this position are to provide administrative and planning support to the Directors Office as well as provide back up for several office functions. The position requires the incumbent to perform multiple tasks simultaneously, including handling interruptions, and returning to and completing tasks in a timely and professional manner. The incumbent is expected to be aware of and abide by the Department's standards of conduct, as well as established rules, regulations, directives, policies and procedures, and laws applicable to the position.
ADMINISTRATIVE SUPPORT RESPONSIBILITIES
Coordinates and assists the division, regulated industry and general public with administrative support. These duties include ensuring the division office main phone is covered fully during business hours, distribute and process incoming and outgoing mail for the division, track division employee attendance in up-to-date real time; assist with office operations preparing various reports, forms and spreadsheets.
ID BADGE PROCESSING Take employee’s pictures in the department approved format, provide main-back up assistance to the BMC ID Badge Coordinator which includes making the badges, changing building access and terminating access timely depending on a case-by-case basis with notification from supervisor and providing back-up assistance to the Douglas/Carr ID Badge Processing Team.
BMC VEHICLE POOL
Perform pre- and post-inspections on motor pool vehicles: check out and check in assigned motor pool vehicles, this includes making sure BMC Motor Pool Coordinator is aware of vehicles that need service or repair; updating information in Cherwell when vehicles are checked out (issuing equipment) and when vehicles are checked in (equipment returned); maintain the emergency kits for motor pool vehicles, order supplies as needed; ensure preventative maintenance is done on motor pool vehicles according to the established maintenance; maintain the vehicle log books with up-to-date information; verify that all receipts are signed by employee (traveler), vehicle tag number identified on the receipt, tape receipts to the receipt form and ensure the vehicle log sheet is complete; place new vehicle log sheets in motor pool vehicle by the 1st of each new month; provide monthly vehicle log sheets and receipts to the BMC Motor Pool Coordinator by the 3rd of each month. provide main-back up assistance to the BMC Motor Pool Coordinator which includes making reservations, QA monthly vehicle logs, coordinate vehicle repairs with other divisions, assist employees when problems are encountered while out on the road, including arrangements for transportation if needed.
Performs other duties as required.
Required Knowledge, Skills, and Abilities:
Knowledge of office practices and procedures related to administrative duties
Knowledge of basic vehicle maintenance
Skilled in the use of a personal computer including Microsoft Office, Excel, Outlook and Word, use of general office equipment
Ability to frequently walk, bend, stoop and handle bulky items up to 50 pounds without assistance
Ability to work outside doing motor pool car inspections
Ability to communicate effectively orally and in writing
Ability to remain calm in difficult and stressful situations
Ability to independently plan, organize, coordinate, and complete work assignments in a timely manner
Ability to understand, interpret, and apply rules, policies, and procedures in a fair and responsible manner
Ability to successfully interact with the public and internal personnel in a tactful and courteous manner providing excellent customer service
Ability to establish and maintain effective working relationships with others
Minimum Qualifications:
- At least three years of verifiable related experience in administrative duties and vehicle maintenance. Post-secondary degrees may be used as an alternative for the required years of experience on a year-for-year basis plus one year of verifiable related experience. A credential evaluation report from an approved agency must be submitted along with all foreign degrees.
- Valid Driver’s License
- Travel on state business
This position is designated as a Position of Special Trust in accordance with DEP Directive 422, Positions of Special Trust or Responsibility. Successful completion of background screening will be required for this position.
