$55,000.00- $65,000.00 Annually            $2,115.38 - $2,500.00 Bi-weekly

Position Summary

This position is responsible for leading coordination between program staff, vendors, and Subject Matter Experts to define requirements, document processes, and support system enhancements for the Agency's Client Data Management System (CDMS) platform. The position manages change requests and deliverable tracking, facilitates testing activities and ensures accurate communication across stakeholders. The position also supports special projects to meet evolving program needs.

 

The Work You Will Do 

This is a professional position located in the Quality and Accountability Division within the Agency for Persons with Disabilities (APD). The Project Management Specialist serves as a key member of the Project Management Office, which is responsible for providing project management services, leadership and strategic direction to ensure Agency project and initiatives align with APD’s mission of supporting individuals with unique abilities. This position plays a critical role in driving Agency-wide project governance, promoting best practices, and advancing initiatives that improve operational performance and service delivery. This position may require occasional travel.

 

Responsibilities include:

  • Providing structured support, coordination, management, and oversight of project scopes, timelines, deliverables, and reporting using approved PMO methodologies, procedures, and templates.

 

  • Collaborating with internal business unities, executive leadership, and external state agencies to ensure alignment, resolve barriers, and support successful project outcomes.

 

  • Applying project management and performance improvement techniques to guide project teams, strengthen processes, and ensure results meet stakeholder expectations and Agency strategic priorities.

 

  • Facilitating high-impact meetings and work sessions by developing agendas, preparing materials, documenting decisions, tracking action-items, and ensuring follow-up, visibility, and accountability.

 

  • Monitoring, analyzing, and reporting project performance data, proactively identifying risks, recommending project corrective action plans, and ensuring issues are appropriately escalated and addressed according to PMO procedures and guidelines.

 

  • Supporting cross-team collaboration and fostering a culture of consistency, transparency, and continuous improvement within the Project Management office.

 

  • Maintaining accurate project documentation, records, and SharePoint content to ensure accessibility, compliance, and version control.

 

  • Assisting in developing PMO templates, tools, and standard operating procedures to increase clarity, efficiency, and repeatability across projects.

 

  • Using Microsoft applications such as Excel, Word, Project, PowerPoint, SharePoint or other relevant software and tools available to prepare reports, analyze data, build schedules, and support collaborative project work.

 

  • Providing general administrative and logistical support such as scheduling, preparing presentations, coordinating communications, and managing project artifacts. Performing other duties as assigned.

 

Minimum Qualifications

 

  • At least four years of verifiable related experience in project management, change management, program planning, or program research. Post-secondary degrees from an accredited college or university may be used as an alternative for the required four years of experience on a year-for-year basis.

Knowledge, Skills, And Abilities

Knowledge of:

  • Project Management principles, terminology, and basic methodologies used to support structured project work.

 

  • Organization policies, procedures, and compliance requirements applicable to documentation, reporting, and project coordination.

 

  • Workflow processes, team roles, and cross-functional operations within a business or government environment.

 

  • Microsoft applications such as Excel, Word, Project, PowerPoint, and SharePoint for documentation, data analysis, scheduling, and collaboration.

Ability to:

  • Apply structured project coordination techniques to support timelines, deliverables, and team accountability.

 

  • Gather, interpret, and present project data to support decision-making and promote visibility of progress and risks.

 

  • Adapt to changing priorities, learn new processes quickly, and work effectively in a dynamic team and PMO environment.

Direct Deposit Program

As a condition of employment, a person appointed to a position in the State Personnel System is required to participate in the Direct Deposit Program.  Rather than receiving a paper paycheck, your funds will be deposited directly into your account at your financial institution. This will be accomplished by Electronic Funds Transfer. Banks, savings and loan associations, and credit unions are eligible to accept such deposits. Retirement funds are also required to be in the Direct Deposit Program.

Background Screening Requirement
