GENERAL POSITION DESCRIPTION:
This position will serve as the Administrator for a variety of business tasks and contracts within the Product, Research and Sales division. Contract duties include but are not limited to the Lottery’s primary instant ticket vendor contract, secondary instant ticket vendor contracts, research services and other products, licensing, promotional, retail or business program agreements. In addition to performing administrative duties and assignments to facilitate operations of the division, the incumbent in this position will report to the Senior Product Manager and may assist with product development and execution, promotion planning and portfolio management.
The position requires time management, ability to prioritize, and independent judgment while performing reporting, budgeting, analytical and administrative functions.
ESSENTIAL DUTIES:
- Each employee is expected to be knowledgeable of the Lottery’s Responsible Gaming program, including the No Underage Play and Play Within Your Means messaging, and will ensure retailers and players are aware of the program and provided information, as necessary.
- Helps to ensure compliance with Agency contracts.
- Assists in maintaining records of the division’s files and associated contract files.
- Prepares, reviews, processes, and tracks the routing and dissemination for division documents.
- Works with Lottery business support functions to ensure that contract and administrative requirements are met.
- Coordinates efforts between the division and Lottery contractors to ensure quality goods and performance of service are delivered to the Agency and the public.
- Works with business units to plan budget, pay invoices and coordinate spending from the division’s budget, instant ticket vendor support fund and other sources when applicable.
- Reviews monthly reports and prepares liquated damage assessments for the instant ticket printing vendor contract.
- Research and collect pertinent information to assist with drafting policies, procedures, contracts, solicitations, terms and conditions, audit responses, training materials, and other information as requested or directed.
- Reviews for accuracy game and promotion rules, website content, in-store signage and other materials that promote and educate the public about Lottery.
- Assists in the development of detailed action plans to ensure the smooth implementation and introduction of new games into the marketplace.
- Coordinates travel arrangements for the division and prepares the necessary paperwork prior to travel and prepares travel vouchers and associated forms for proper reimbursement upon return from travel.
- Coordinates the purchase of supplies and event related equipment for the division and prepares the necessary paperwork prior to purchase and prepares associated forms for proper reimbursement and payments to vendors.
- Undergo cross-training with other division employees and serve as backup support for certain activities.
- Performs special assignments as requested by the Deputy Secretary of Product, Research and Sales or the other managers in the division.
- Attendance is an essential function of this position.
- This position may require occasional travel.

Other job-related requirements for this position
High School Diploma or equivalent (GED) required.
Successful passing of a criminal background check (state, local, and national) is required.

The types of confidential information may include, but are not limited to, payroll information, budget matters, policy decisions, tax matters, employee disciplinary issues, and other personnel data.
