Job Description

This position functions under the direction of the Associate Vice Chancellor and assists with tasks related to convenings and presentations, track and respond to unit correspondences, and handle day-to-day assignments to support both Academic and Student Affairs as described below.

 

Duties and Responsibilities

(Note: The omission of specific job duties does not preclude management from assigning specific duties not listed herein if such duties are a logical assignment to the position.)

The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:

 

  • Prepare and collect responses to surveys related to required Division reports.
  • Serve as Primary responder to telephone inquiries concerning students and constituents including serving as a backup for CorrFlow tracking and responding.
  • Maintain Division Contact and Membership lists: Division Directory, FCS Master List Directory, and Listservs
  • Draft correspondences for email memo, or letterhead.
  • Monitor, appropriately distribute and file emails received through the Chancellor FCS inbox.
  • Serve as primary responder under the supervision of the Director of Student Affairs to telephone and email inquiries concerning student, parent and stakeholder questions, which requires a broad background of knowledge related to residency for tuition purposes, financial aid, veterans affairs, equity and civil rights compliance, institutional codes of conduct and student handbooks, etc.
  • Acquire applicable statute and rule knowledge to communicate student affairs-related policies and procedures to respond to inquiries independently and under the Director of Student Affairs.
  • Assist in state annual equity reporting by organizing data, updating templates, and supporting the Deputy Director of Equity and Civil Rights Compliance and the Director of Student Affairs in the review process.  Provides technical support to the field in completing templates.
  • Assist in federal equity on-site or virtual site visits with the Deputy Director of Equity and Civil Rights Compliance and the Director of Student Affairs. This includes participating in the interview process, writing notes of findings for the Letter of Findings, and monitoring compliance with submission of Voluntary Compliance Plans.  Provides technical support to the field in uploading content into the platform for site visit documents (e.g., Microsoft Teams).
  • Assist in the collection and posting of Florida College System academic calendars and other routine reporting requirements.
  • Serve as a backup for tracking and responding to constituent requests submitted through CORRFLOW.
  • Monitor, appropriately distribute or respond, and files email received through shared email inboxes.
  • Prepare and collect responses to surveys using other applications related to Division reports as required in Florida Statutes or State Board of Education Rules. In addition to building survey instruments, this includes writing briefs summarizing the responses.
  • Complete tasks related to preparation for convenings, presentations, or other events for which the unit is responsible.
  • Set up and provide support for webinars and conference room technology.
  • Draft correspondence on a wide range of student affairs topics.
  • Maintain the division resources such as a telephone list or master directory, and listservs.

LEAVE INFORMATION:

    • Annual Leave - Employees in Senior Management Service and Selected Exempt Service positions are credited with 176 hours of annual leave upon appointment. In subsequent years, the annual allotment is credited on the anniversary date of the initial appointment.
    • Sick Leave - Employees in Senior Management Service and Selected Exempt Service positions shall be credited with 104 hours of sick leave upon appointment. In subsequent years, the annual allotment is credited on the anniversary date of initial appointment.
