Your Specific Responsibilities:

 

This position spends more than 50% of the time engaged in supervisory responsibilities. This includes communicating with, motivating, training, and evaluating employees in addition to planning and directing employees’ work. The incumbent has the authority to hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward, or discipline subordinate employees or effectively recommend such action. The incumbent will also be required to develop performance expectations, meet with staff regularly to discuss performance, complete performance reviews, maintain vacation and work schedules, ensuring proper coverage, and complete timesheets.

This is a highly professional position reporting directly to the Section Administrator of the Brain and Spinal Cord Injury Program with coordination of assignments and responsibilities which impact the section as a whole or the bureau. The incumbent reviews management practices and identifies and recommends changes to management to increase productivity and performance in the section. This position requires the responsibility to work independently without close supervision in making decisions and obtaining solutions to routine problems, issues and other matters within established office policies, procedures, guidelines, rules relating to correspondence, personnel, and document tracking/control and coordination. This position will oversee Provider Enrollment, Central Registry and administrative functions in the Brain and Spinal Cord Injury Program.

Establishes priorities for section’s office staff to meet specified time frames. Independently plans workload, workflow, and establishes deadlines to ensure maximum use of time and resources.

Organizes, and coordinates the functions of the section including directing special projects and activities. Advises the Section Administrator of problem areas and pending assignments and recommends and coordinates proposed solutions.

Provides oversight of administrative duties of Provider Enrollment, Central Registry, Administrative Assistant I and the Staff Assistant to ensure policy and procedures are followed and makes any recommendations for improvement. Performs tasks in assisting the Bureau HR Liaison with programmatic onboarding documents and questions.

Represents the Section Administrator in matters as authorized, including attending meetings and conferences. Carries out other assignments given by the section administrator and bureau chief.

Advisory Council

Manages the administrative activities of the Brain and Spinal Cord Program Advisory Council and ensures compliance with all applicable policies and rules regarding meeting coordination, roll call, minutes for all Advisory Councils meetings, public notice of meetings for the council, coordination for in person meetings.

 

Routing of Annual Report.

PROCUREMENT: Maintains knowledge of and adheres to the department’s purchasing, financial and personnel policies and procedures. Uses the state purchasing card, maintains appropriate security and documenting of expenditures. Monitors and approves purchases in MFMP as needed. Develops purchase orders as requested.

Responsible for tracking and assisting the Section Administrator in oversight of the following purchasing activities and coordinating those activities with the budget manager for BSCIP / or the bureau as requested.

    • Review of weekly encumbrance report.
    • Responsible for oversight of all purchase orders and PO folders for BSCIP.
    • E- quotes
    • Vendor coordination for BSCIP for beginning and end of SFY.

CENTRAL REGISTRY Maintains knowledge of and adheres to the department’s central registry procedures to ensure all referrals are received, entered RIMS and assigned appropriately in the time frame specified. Ensures all calls and referrals are logged daily. Ensures coverage is maintained at all times and coordinates coverage as needed.

PROVIDER ENROLLMENT Supervise, expand and maintain a statewide network of service providers to serve the program clients with traumatic brain and spinal cord injuries.  Direct and oversee the programs provider enrollment, certification, and renewal processes ensuring compliance with required provider qualifications.  Ensure maintenance and distribution of an up-to date directory of the statewide network of providers, as well as appropriate information and required revisions are entered in the RIMS Vendor Directory. 

 

OTHER DUTIES: Prepares correspondence for the section administrator, coordinates and integrates responses to assignments from the bureau and prepares a coordinated response for the signature of the Section Administrator and/or Bureau Chief within required time frames.

  • Process of restitution payments received requires the transmittal memo to be completed, the check and memo are then sent to legal.
  • Refunds received as outlines in the Refund Policy and Procedures.
  • Routing of CorrFlow documents as applicable.

Coordinates reviews, evaluates, and disseminates correspondence, assignments, reports and other documents produced by the section using independent judgment to ensure that relevant policy issues are addressed, that policy and procedures are followed, that items are responsive to the issues under consideration, and that content and quality are appropriate.

Coordinates with staff on issues requiring further work or investigation. Trains and provides guidance to staff on correspondence, mandated reports, and guidelines. Responsible for all scheduling of staff meetings for the Section Administrator. Schedules and drafts agendas for quarterly section staff meetings, and for biweekly direct reports meetings. Other duties as assigned by the Section Administrator or Bureau Chief

Required Knowledge, Skills, and Abilities:

    • Ability to communicate verbally and in writing.
    • Ability to organize and prioritize assignments with attention to detail.
    • Knowledgeable with all Office 365 products.
    • Experience with Florida’s Accounting and Information Resource (FLAIR)
    • Experience with WORKS
    • Experience with STMS

 

Qualifications:

    • Prefer but not required 2 years supervisory experience.
    • 2 Year experience monitoring quality control.
    • 2 Years experience with performing financial audits.

Preferred - qualifications that, while are not required, are good to have for those serving in this position.

    • Florida Contract Management Certification
