Duties and Responsibilities
This position provides operational and clerical support within the Bureau of Record’s Mail processing Unit. This position is responsible for interpreting, discussing, analyzing, and effectively utilizing policies, rules, and regulations to determine the proper mail recipient within the Division of Motorist Services, Bureau of Records program areas. This position will ensure effective state-to-state mailing of bulk correspondences within the bureau’s program areas. The incumbent will prepare and scan documents, receive requests and extract required data from computer ledgers by retrieving microfilm rolls of documents and operating a microfilm reader printer to scan microfilm. The incumbent will be responsible for compiling an activity report of all incoming and outgoing requests and work produced each day.
Knowledge, Skills, and Abilities
- Skill in operating a personal computer to include Microsoft Word, Excel, and Outlook.
- Skill researching, compiling, and analyzing data for accuracy or compliance.
- Skill in using Motorist Maintenance and ORION.
- Skill in data entry.
- Ability to operate basic office equipment, such as, a personal computer, multi-line telephone, printer, fax machine.
- Ability to adapt to changing work volume and variety.
- Ability to make informed decisions and assist in resolving work issues.
- Skill in compiling, organizing, and maintaining information and reports and coordinating work assignments according to established timeframes.
- Skill in basic math.
- Knowledge of operation scanning technology.
- Ability to communicate effectively, verbally, and in writing.
- Ability to follow office procedures and practices.
- Ability to work well independently and with a team.
- Ability to read, understand and interpret statutes, rules, regulations, policies, and procedures.
- Ability to maintain the confidentiality of information.
Preferred Qualifications
- Preference will be given to applicants who have experience preparing professional reports; customer service; handling confidential information; and using Microsoft Word, Excel, and Outlook.
- Preference will also be given to applicants who have experience using the ORION and Motorist Maintenance.
General Information
- The elements of the selection process may include a skill assessment and/or oral interview.
- Applicants being considered for employment will be required to submit to a fingerprint-based background investigation, which will include a check of the criminal history records of the FBI. Fingerprints and associated information/biometrics will be retained in the FBI’s Next Generation Identification (NGI) system and fingerprints may continue to be compared against fingerprints submitted to or retained by NGI.
- FLHSMV employees are paid once a month on the last workday of each month. All state employees are required to participate in the direct deposit program pursuant to s. 110.113 Florida Statutes.
