Your Specific Responsibilities:
This position in the Bureau of Operations, Operational Support Service Unit, and the candidate selected for this position must be able to work independently, analyze, develop, and consult with section managers. Duties include aiding with policy improvement, practices, records, methods, procedures, and organizational structure. The incumbent in this position will serve the Deputy Agency Clerk and Custodian of Records. This position is required to function independently, with minimal supervisory oversight. The selected candidate must possess excellent analytical, consultative, and research skills, as well be able to communicate effectively.
Must be able to interpret laws, executive orders, agency rules, administrative orders and government regulations, or provisions related to the administrative procedures act. Knowledge of legal codes, court procedures and the administrative appeals process is necessary. This position conducts research and performs quality assurance audits related to reports on adverse actions reported to the National Practitioner Data Bank (NPDB), National Council of State Boards of Nursing (NCSBN) and agency filings. Uses skilled decision-making techniques in evaluating, planning, and integrating analysis of data to formulate solutions, strategies, and makes recommendations to management to improve the filing and reporting process. This is a sensitive position that handles confidential information on an on-going basis.
Receive, review and report as necessary applicants, licensees’ and unlicensed activity that meets reportable parameters as identified by the NPDB. Assists management with communicating with NPDB, NCSBN and external customers to resolve any filing or reporting disputes. Assists management with the bi-annual Federal Audit working with the NPDB and NCSBN.
Review, file, serve and/or distribute all documents in compliance with the Florida Statutes, (i.e.: orders, appeals, administrative complaints, licensure denials, emergency suspension orders, etc.) into the agency licensing system LEIDS. Ensures that final orders and emergency orders are complete and accurate and makes independent determination as to whether indexing is required by Section 120.533(1)(F)1,2, Florida Statutes. Ensure that all documents filed are indexed and stored in appropriate computerized folders then uploaded into the agency document repository Axiom Pro for Indexing and Reporting. A quality check of data and the index naming convention is required for each document processed. Responsible for performing this duty while simultaneously filing the documents. Reports applicable orders to Federations, Associations and Federal Agencies with credential information related to the licensee as requested by the licensing boards.
Analyzes data and compiles reports relative to section for quarterly expenditure reporting. Assists management with the development and monitoring of contracts or other formal agreements, between the Department and its authorized agents. Consults with the section manager and make recommendations for the installation of new procedures and management techniques such as production planning control, work measurement and quality control.
Performs related work as required.

Minimum Qualifications:
- Certified Paralegal or Minimum of two-years of experience as a Legal Assistant
- Employees in this position are expected to work in a professional office environment characterized by standard lighting, temperature, and moderate noise levels. The role requires the ability to manage periodic interruptions, perform duties within a confined workspace, and remain seated at a computer workstation for extended periods.
- Must be willing to physically come in the office to perform the duties & responsibilities of the position.
