Your Specific Responsibilities:

This is independent work for the x-ray machine section including evaluating, researching and monitoring conformity with laws and regulations governing compliance of x-ray machine installations and registrations and issuance of certificates.  The incumbent in this position must be familiar with Florida Administrative Code (F.A.C.), Chapter 64E-5, and the policies and procedures of the bureau pertaining to x-ray machine registration; and must be familiar with working with databases.

 

Evaluates and processes radiation machine registration applications; assesses appropriate fees; updates the x-ray database, which requires a general knowledge of data processing procedures; assists in billing collections of such fees in accordance with established state accounting procedures; performs cashiering responsibilities including check validation; sets up batches of checks to be validated, including the reconciling of large checks prior to validation.  Responsible for x-ray machine registration and correlated radiation machine inspection program files; makes informed decisions regarding established policies and procedures and answers inquiries related to registrations and/or inspections.  Generates inspection reports and retrieves documents from the electronic filing system for inspectors as requested.  Receives and processes incoming correspondence, reports and forms relating to the installation, registration and inspection of x-ray machines.  Researches and calls facilities of all returned and undeliverable mail. Responsible for screening, and final preparation (i.e., ensuring proper entries) on x-ray inspection summaries prior to entering into data system. 

 

Communicates with registrants and staff to ensure compliance with the rules and regulations stated in Chapter 64E-5.511, F.A.C., and other applicable rules.  Responds to callers, reviews and handles incoming correspondence appropriately; processes outgoing mail including priority service packages for the x-ray machine section.  Assists environmental specialists with correspondence regarding violations and violation corrections.

 

Scans and peer reviews x-ray machine registration and inspection reports, facility invoices, payment records, and all other related correspondence and documents. Scans and mails x-ray machine facilities’ Radiation Protection Plans (RPP’s).  Mails compliance/non-compliance letters on a weekly basis.

 

 

 

Assists with releasing certificates to be printed and reconciling batch totals from logs.  Assists with verifying vendor information and entering vendor reports of installations into the database.  Escalates unregistered vendor information to the Administrative Assistant. 

 

Performs other related work as required.

 

Required Knowledge, Skills, and Abilities:

Ability to compile, organize and analyze data.  Ability to investigate and resolve complaints.  Ability to analyze and apply Florida Statutes, rules and policies and procedures for x-ray machine registration.  Ability to provide consultative assistance to others.  Ability to plan, organize and coordinate work activities.  Ability to communicate effectively.  Knowledge of basic data system operation. Ability to sort data alphabetically, numerically, and categorically. Ability to organize files, records and/or other materials.

 

Qualifications:

A High School Diploma or equivalent and one year of general office experience.   Preference will be given to candidates having experience with Microsoft Office applications, data entry, and portable document files (pdf).
