SPECIAL NOTES:
Two (2) years of administrative or professional experience preparing detailed business correspondence and maintaining a filing system is required. A postsecondary degree may be used as an alternative for the years of experience on a year-for-year basis.
Preferences:
- Experience applying applicable rules, regulations, policies and procedures.
- One (1) year of experience in the use of Microsoft Office applications, Word, Excel, and Outlook.
- One (1) year of experience in workers’ compensation.
- One (1) year of experience in preparing detailed business correspondence and maintain a filing system.
This position requires a security background check, including fingerprint as a condition of employment.
Employees of the Department of Financial Services are paid on a monthly pay cycle.

Minimum Qualifications for this position include the following REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of the methods of data collection, compiling, organizing, and analyzing data. Knowledge of structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. Skilled in the use of Microsoft Word. Ability to work independently and to prioritize assignments. Ability to communicate effectively with others in writing. Ability to evaluate information against standards. Ability to prepare technical documents. Ability to understand and apply applicable rules, regulations, policies, and procedures. Ability to collect, analyze and interpret data. Ability to establish and maintain effective working relationship with others. Ability to maintain hard-copy and electronic files.
BRIEF DESCRIPTION OF DUTIES:
Process and prepare correspondence to be mailed to inform parties of the decisions regarding reimbursement dispute cases to include petitions, carrier responses, dismissals, determinations, and notices of deficiencies. This also includes the handling of health care provider and carrier compliance violation documents. Review outgoing correspondence for completeness, appropriateness, correct grammar, spelling, punctuation and adherence to department format. Provide findings and recommendations for corrective action as needed. Receive, open, and date stamp mail and accurately route it to staff in the Medical Services Section. Provide phone coverage for the Medical Services Section, taking and delivering accurate messages to the staff. Mail Determinations/Dismissals/Notice of Deficiencies/Final Orders.
Examine and perform the validation of the integrity of the Division’s data records between the processed daily MSS mail, ATIS and ARAMIS systems. Research, validate and update the addresses in the ARAMIS system. Assist with the testing of ARAMIS enhancements/functions. Assist with follow up and requests for variances related to confirmation of payment on all Final Orders.
Review and update ARAMIS database with accurate information regarding disposition of reimbursement dispute correspondence. Track and monitor delivery of reimbursement dispute correspondence sent via certified mail. Develops, maintains and updates filing system for reimbursement dispute cases to allow prompt retrieval of correspondence, documents and other materials to assist individuals or groups with concerns related to a case. Scan, index and verify correspondence and documents for reimbursement disputes, health care provider violations and carrier compliance. Prepare reports of activities carried out by the team, monthly certified mail report to ensure that delivery of reimbursement dispute-related documentation mailed to recipients and effectuate delivery of correspondence as necessary.
Assist with maintaining chronological files of reimbursement dispute cases to include sorting, purging, preparing, and reviewing records for compliance. Assist with the resolution of the “overdue docket job runner” reports.
Perform purchasing duties for the Medical Services Section to include draft of requests, research of competitive prices on items to be purchased and maintenance of files for pending and completed purchase requests. Maintain and dispense office supplies. Submit monthly copier counter report to applicable lease company
Performs other related duties as required.
