Your Specific Responsibilities:
This position is responsible for establishing and maintaining an inventory system for all regulatory licensure records and licensure updates for the Board of Medicine. It requires skills in analyzing and interpreting data, knowledge of policy and procedures. The incumbent must take initiative and be independently creative in planning and devising new methods for quality assurance reviews for imaging. It requires the ability to read and understand statutes and rules, to exercise independent judgment in dealing with internal and external customers, to communicate effectively, verbally and in writing and to establish an effective working relationship with others.
This position is responsible for the following:
Independently reviews, corrects and ensures correct database entries for imaging files supporting the licensing program. Provides assistance to Board staff in resolving questions regarding the preparation of these files; Recommends action to improve procedures. Enters the required information into LEIDS Document Repository. Prepares files for scanning/imaging according to established procedure. Responsible for handling all scanning files in a confidential and secure manner to ensure compliance with the Division and Department standards. Plans, prepares, and coordinates the methodology with appropriate Board staff for the pick-up of files for scanning.
Processes APRN Notice of Protocol forms in accordance with s.458.348, FS, - Formal supervisory relations, standing orders, and established protocols. Respond to questions regarding APRN/EMT/Paramedic Protocols. The processor must have knowledge and understanding of s.458.348, FS.
The Team Lead reviews existing processes and identifies process improvements aimed at improving efficiency, accuracy, and productivity in the office. This may include the creation of a new job aid, resource, tool, guide, etc. Recommendations and actions plans are recorded and then executed. The Team Lead also assists in monitoring the main phone line and training new hires. Responds to telephonic and email inquiries regarding initial licensure and post licensure applicants in the Board of Medicine. Has the knowledge, skills, and ability to diffuse irate callers and answer questions from potential applicants.
Coordinates the maintenance and use of the Board of Medicine storage area set aside for administrative support files and is responsible for the scanning and destruction of these files. These files include, but are not limited to, office surgery registration licensure files and board member files in accordance with the Department of Health Retention Schedule and the Department of State, Bureau of Archives and Records Management.
Main phone line person for receptionist position, providing phone coverage and responding to complaints and inquiries from the public, potential licensees and licensees. Assists with the receipt and appropriate disbursement of all regulatory incoming mail for the Board of Medicine.
Reviews and verifies Board actions to the FSMB for their report, making sure all are reported. Analyzes final FSMB report for Florida-licensed physicians who are disciplined in other states and reports them to CSU.
Performs other duties as assigned by management.
