DUTIES AND RESPONSIBILITIES:

  • This position serves as the Office of Public and Professional Guardians (OPPG) Registrar for all professional guardians in Florida.
  • The duties include the intake, review, and processing the registration of professional guardians including initial registrations, annual registration renewals, and amended registrations.
  • Responsible for updating professional guardians’ registration records and supporting the searchable database of registered professional guardians with current registration status and disciplinary history.
  • Track professional guardians’ compliance with continuing education requirements.  Add new professional guardians to the continuing education system. Assist in reviewing, approving, auditing, and developing continuing education courses for professional guardians.
  • Review records maintained in the FDLE FALCON database and coordinate with the Office of General Counsel, when necessary, for reviewing criminal history background.
  • Send notices to professional guardians in advance of their expirations, and to those whose registrations have expired. Send additional notices to the court when professional guardians are no longer registered.
  • Assist in the development of improved procedures, job aids, and desk manuals.
  • Assist with updating publication of registration related to information on Office of Public and Professional Guardians’ internet website, handbooks, and brochures.
  • Create and utilize spreadsheets and database applications to produce a variety of materials, including public records requests, correspondence, and reports.

  • Maintain appointment calendars and schedule meetings.
  • Respond to professional guardian correspondence in the shared OPPG Registration email box, telephone calls, and emails, including public records requests, correspondence tracking, continuing education review, and mail log.
  • Provide support for public guardian programs as needed.
  • Assist as needed with complaints and investigations regarding professional guardians.
  • Assist with administrative duties such as timestamping and tracking all incoming mail to OPPG, managing inventory supply, and reviewing and approving invoices.
  • Assist with special projects and other duties as may be required.  

 

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:

  • Knowledge of Florida Guardianship law and procedures.
  • Possess strong written and oral communication skills; use correct grammar, punctuation, and spelling. Must be detail oriented and able to enter data accurately into a computerized system. Able to navigate multiple computer screens, applications, and online research engines. Proficient in Microsoft Windows Operating environments and Office Suite including Word, Excel, Teams, Outlook, PowerPoint, OneDrive, and SharePoint.
  • Ability to maintain a professional and courteous demeanor; to provide excellent customer service; to establish and maintain cooperative working relationships with the public and staff; and, to work independently and as part of a team.
  • Willing and able to make decisions and exercise sound judgment; to accept responsibility for one’s own actions and decisions; to adapt to changes in work assignments, procedures, and technology; and to be committed to improving individual performance.
