Your Specific Responsibilities:
The employee in this position reports to and assists the Program Operations Administrator and coordinates workflow, serving as the Regulatory Specialist III for the Board of Nursing Agenda Unit. This is a professional position in which the employee functions independently and as part of a team to coordinate board meeting agendas and maintain quality control. The individual in this position is expected to demonstrate the agency’s fundamental values of innovation, collaboration, accountability, responsiveness and excellence and promote the Department’s mission.
Primary responsibility is to notice and create the bi-monthly Board of Nursing agenda and the public agenda book for board and committee meetings. The incumbent will receive credential files and materials from the Nursing Units, Compliance Management Unit, Prosecution Services Unit, and IPN, and adds the files to the agenda using the iBuilder program. The incumbent will also assist with the development and finalization of the agenda for the board and committee meetings and is responsible for pre-board meeting activities to ensure completeness of the record and redaction of confidential information. Review of the following: agenda materials, disciplinary cases, licensee application files, and all administrative items and reports to be considered at board and committee meetings; ensure that all agendas, addendums, and any supplemental materials (including Board orders) are copied and assembled correctly and distributed in compliance with mandated time frames.
The incumbent is responsible for notifying respondents, applicants, and their respective counsels of Board appearance dates and ensuring that notification is completed within the required timeframes, as well as communicating with the public and attorneys verbally and in writing regarding agenda items and materials.
The incumbent will be responsible for completing post board activities, such as compiling board cost data, electronic order tracking and filing, reviewing for accuracy once received from the Attorney General’s office, adding any necessary attachments, and ensuring all cases requiring orders are received and filed timely with the agency clerk. Track receipt and filing of all orders in a shared location and ensure that all orders are filed within the required timeframe. Provide Regulatory Supervisor and Program Operations Administrator with Board Costs for staff.
Responsible for preparing all travel authorizations and reimbursement forms for board staff and/or board members. Incumbent will ensure the Board member contact list is accurate at all times. Incumbent will export travel authorization summaries into a PDF document and add the required attestation language prior to obtaining board member signatures through Adobe Sign. Responsible for completing all purchasing requests for the office, as well as processing of affidavits received from other units in the Department.
Attends board or committee meetings as needed. Responsible for assisting at the board meeting with the sign-in table and ensuring meeting attendees are in the correct committee as well as any other duties given by the Program Operations Administrator and Executive Director.
Incumbent is also responsible for assisting with recording and posting of audio from each Meeting. Incumbent will serve as back up for monitoring the board’s main ZZZ email box in Outlook, sorting or forwarding emails if needed, and ensuring any others are responded to in accordance with required internal timeframes.
The incumbent will be responsible for maintaining office supplies, ordering supplies as needed.
Required Knowledge, Skills, and Abilities:
- Ability to compile, organize and analyze complex data.
- Ability to investigate, analyze and resolve complex complaints.
- Ability to understand and apply Florida Statutes, rules, policies and procedures for licensing and regulation of professionals.
- Ability to provide consultative assistance to team members and professionals. Ability to plan, organize and coordinate work processing team and Regulatory Specialist III activities. Ability to maintain effective verbal and written communication.
- Ability to establish and maintain dependable, effective working relationships with others. Ability to maintain pre-approved work schedule with minimal interruptions to work flow.
- Experience with Microsoft Office programs including Outlook, Word and Excel and Mail Merge.
Qualifications:
- High school diploma or equivalent AND 2 years administrative experience to include computer software, data entry, travel arrangement preparation, document preparation, personnel, and budget review.
- College education can substitute for the required experience on a year for-year basis.
