Your Specific Responsibilities:
The employee in this position reports to and assists the Regulatory Supervisor/Consultant and Program Operations Administrator on the Advanced Processing Team in the Board of Nursing, and coordinates workflow serving as the Regulatory Specialist III. This is a professional position in which the employee functions independently and as a team who processes, evaluates and determines eligibility for complex licensure applications. The incumbent must be able to understand and apply Florida Statutes, rules, policies and procedures that are applicable to the Board of Nursing. The individual in this position is expected to demonstrate the agency’s fundamental values of innovation, collaboration, accountability, responsiveness and excellence and promote the Department’s mission.
The employee compiles all documentation for applicants who require board review and prepares summaries and packets for board meetings and board conference call agendas, pursuant to Board guidelines. Summaries are drafted in Microsoft Word, and must clearly indicate the reason for board review, as well as accurate information regarding any criminal and disciplinary action, and any pertinent information the board members may need to make an informed decision. Packets are compiled in Adobe Acrobat PDF, and incumbent is responsible for ensuring all confidential information and documentation is labeled as such and/or redacted if necessary. Incumbent will extract, rearrange, and rotate PDF documents to ensure proper placement and accuracy. Incumbent will be responsible for drafting the Notice of Hearing, including the date, time, location and committee placement, prior to turning the packet for review.
The employee evaluates complex applications containing criminal, health and/or discipline history for all individuals applying for licensure under the Board of Nursing: CNA, LPN, RN, and APRN. The incumbent corresponds in writing to applicants in conjunction with processing their application, to notify them of deficiencies and application statuses, as well as to clarify concerns, obtain additional information or explain relevant statutes or processing procedures as defined by Chapter 464 Part I & II, F.S., and applicable board rules. Responsible for verifying licensure statuses and any possible disciplinary actions or open cases through NURSYS or the applicable state's website. For any files which may require board review, the incumbent must notify the Background Screening Unit.
Team lead duties include that the employee monitors and processes files being returned from the Background Screening Unit, to update application statuses, approve, or prepare for board review within required timeframes. The incumbent processes exemptions from disqualification after the Background Screening Unit has completed their review. When the applicant qualifies, the incumbent will update the file, add a modifier, issue the approval letter to the licensee, and forward a copy to the Agency for Health Care Administration (AHCA). For applicants who do not qualify for licensure or an exemption, the incumbent is responsible for notifying the applicant of the statutory bar and timeframe for disqualification and offering them the opportunity to withdraw in accordance with board policy and procedure.
The employee processes reports for incoming documentation or information, including documents uploaded by the applicant to their file, Livescan screenings, and files tracked for review through the document repository. The employee processes and responds to complex incoming mail and email inquiries, including health and disciplinary documents, records all received documentation in the applicant's file within 1 business day of receipt and saves the documentation for upload to the licensure file. The incumbent is responsible for ensuring the accuracy of licensure information in the database and reports data entry errors to include vendor errors. The employee maintains an electronic licensure filing system and prepares supplemental documents for imaging.
The employee monitors files conditionally approved by the Board, as well as Conditional/Active licenses. Audits and processes files within established processing timelines. Sends approval and/or denial letters for filing to the Clerk’s Office, and to the applicant when filed. The incumbent is responsible for contacting the applicant when board orders or correspondence are returned as undeliverable. Upon completion of probation or conditions, drafts a Notice of Termination for filing with the Clerk.
Team lead duties include that the incumbent serves as a member of the board’s training team. Training team members are responsible to the Deputy Executive Director for developing and maintaining training tools such as desk guides and PowerPoint presentations, participating in monthly training team meetings, and in the development of the annual training plan. This position is responsible for providing group training presentations and providing guidance to preceptors assigned to new staff.
