We are looking for a highly motivated candidate with strong analytical skills to ensure regulatory compliance with Florida Statutes. The ideal candidate should also have excellent communication skills, technical proficiency, and the ability to solve problems efficiently. We are searching for an individual with diverse skills and regulatory knowledge who can take a proactive approach to significantly impact the quality assurance and compliance of healthcare practitioners in Florida.

 

Your Specific Responsibilities:

The incumbent in this position will be part of the Board of Dentistry team and will primarily perform complex administrative duties for the Board of Dentistry. The incumbent will perform assignments that require a high level of independent judgement with an attention to detail all which must be performed within specified deadlines. This position is relied upon heavily to assist in many aspects within the office.

 

This position is supervised by the Program Operations Administrator of the Board of Dentistry with the following specific duties and responsibilities:

 

•           Being responsible for pre-Board of Dentistry and related committee meeting activities to ensure completeness of the record and redaction of confidential information. This includes assisting with the development and finalization of the agenda for all meetings; reviewing all agenda materials, disciplinary and probation cases, licensee application files, and administrative items and reports to be considered at board and committee meetings; ensuring all agendas, addenda, and any supplemental materials are copied and assembled correctly and distributed in compliance with mandated time frames; ensuring updates are promptly made to the board’s web page with Orders on Petition for Declaratory Statement; and publishing meeting notices in the Florida Administrative Register and preparing the public and private agenda book for board and committee meetings.

•           Assisting the Prosecution Services Unit with the coordination of probable cause panel meeting dates and panel members for the Board of Dentistry, as well as notifying respondents, applicants, and their respective counsels of board appearance dates and ensuring that notification is completed within the required timeframes. 

•           Attending and performing administrative duties associated with all Board of Dentistry and related committee meetings as needed and at the direction of the Program Operations Administrator and/or the Executive Director. This includes taking meeting minutes, assisting licensees with signing in and out to receive their CE credits and certificates, verifying meeting details prior to the start of a meeting, and ensuring all closing orders have been signed by the Executive Director.

•           Being responsible for all post-Board of Dentistry and related committee meeting activities, such as finalization of all public probable cause panel and committee minutes, processing all Final Orders and ensuring the proper violation and closure codes have been added along with any supplemental documents required and filed with the agency clerk in a timely manner, and posting minutes and audio recordings of public board/committee meetings to the board’s web page.

•           Coordinating with the Bureau of Operations for the selection of all Board of Dentistry and related committee meeting locations, reserving board member and board staff accommodations, hiring the court reporter, and completing the data entry and accuracy for the Board Cost project.

•           Preparing all travel authorizations and reimbursement forms for board staff and board members as needed.

•           Maintaining the accuracy of the Board member contact list and working with the Web Support Department to ensure all meeting dates, locations and times are posted to the appropriate meeting tabs; that staff and board contact information is up to date; and to conduct any other website maintenance as needed.

•           Constructing the yearly meeting calendar for the Board of Dentistry, which contains board, committee, department, and association meeting dates and deadlines, and informing board and PSU staff of impending deadlines for submission of material for board meetings.

•           Ordering supplies for the board office, tracking all reconciliation reports, approving FLAIR charges in a timely manner, tracking all invoices, and completing monthly reconciliation process.

•           Generating reports, organizing and coordinating work assignments, and aiding board staff with processing incoming applications, phone calls, mail, faxes, emails and walk-in applicants and licensees as needed.

•           Performing other duties for the board office as requested.

 

Required Knowledge, Skills, and Abilities:

  • Knowledge of Florida Statutes, Board, and Department rules governing licensure of professionals in Florida.
  • Knowledge of methods of data collection and preservation.
  • Ability to understand and apply applicable laws, rules, regulations, policies and procedures. 
  • Ability to work independently. 
  • Ability to plan, organize and coordinate work assignments. 
  • Ability to utilize problem solving techniques. 
  • Ability to communicate effectively, verbally and in writing. 
  • Ability to maintain confidentiality.

  • Experience with data entry, customer service, and/or administrative tasks.
  • Experience using Microsoft Office Suite programs including, but not limited to, Word, Excel, Outlook

 

Qualifications:

Preference will be given to those who meet the following minimum requirements:

  • High School Diploma or equivalent AND 2 years’ experience that includes event planning, editing, and writing, usage of State of Florida software programs like FLAIR or STMS, and/or office administration.
  • At least 2 years of experience with LEIDS/Versa Regulation or similar.
  • College education can substitute for experience on a year-for-year basis.
