Your Specific Responsibilities:

This position provides high-level administrative support to the Program Operations Administrator for the Licensure Unit within the Board of Medicine.  Position exercises independent judgment in completing duties and responsibilities. Independently assists in directing and coordinating processing of licensing, pursuant to Chapter 458, F.S. and 64B-8 Florida Administrative Code, of applicants for initial licensure as medical doctors.

Assists with the development and finalization of the agenda for committee meetings.  Responsible for pre-committee meeting activities to ensure completeness of the record and redaction of confidential information including the review of: agenda materials, initial application files, and reports to be considered at the committee meetings.  Responsible for ensuring that all agendas and supplemental materials are copied, assembled correctly and distributed by the deadline.   Prepares legal notices of committee meetings within mandatory timeframes. 

Responsible for reviewing Orders regarding licensure status for applicants.  Reviews, updates and ensures correct code changes in automated database system concerning applicants’ conditions for licensure.

Responsible for notifying applicants and their respective counsels of board appearance dates and ensuring that notification is completed within the required timeframes.  Communicate with the public and attorneys verbally and in writing.

Responsible for all post committee meeting activities including finalization of committee minutes, processing all Notice of Intent to Approve Licensure with Conditions, Notice of Intent to Deny Licensure, Order Allowing Withdrawing of Application, Order Granting Extension and Modifying Condition to be filed with the agency clerk in a timely manner.

Researches, prepares, and distributes department database reports of office activities, and operations. Summarizes the findings to be available for review and distribution to the Program Operations Administrator, Regulatory Supervisor, Council on Physician Assistants, Credentials Committee, and the Florida Board of Medicine.  Prepares other quality assurance reports.  Trains staff on information related to data integrity for health care practitioner data.

Performs administrative functions related to tracking systems, coordinates various meetings, prepares various agendas, and provides participants and co-workers with background information and materials for these meetings. Initiates and prepares letters, reports, memoranda, charts, tables and other documents for management, board members, licensure unit staff, and other interested parties.

Required Knowledge, Skills, and Abilities:

  • Knowledge and ability to interpret Florida Statutes and administrative codes in regards to licensing and regulation of professionals and facilities, and consumer protection.
  • Knowledge and proficiency of Microsoft Office software.
  • Knowledge and proficiency in using Windows-based computers.
  • Ability to learn and utilize job-specific software such as LEIDS and AxiomPro and office equipment such as phones, fax machines, scanners, and copiers.
  • Ability to compile, organize, and analyze data.
  • Ability to provide consultative assistance to others.
  • Ability to plan, organize and coordinate work activities on a pre-approved work schedule.
  • Ability to communicate and deal with people effectively.
  • Ability to establish and maintain effective working relationships with others.

 

Qualifications:

Preference will be given to those who meet the following minimum requirements:

  • High School Diploma or equivalent AND 2 years’ experience that includes data entry, document preparation, computer software use, evaluating legal documents or evaluating for compliance with regulations, customer service, or handling sensitive information.
  • College education can substitute for the required experience on a year-for-year basis.
